Job DescriptionPosition Description
Reporting to the Administration Manager, the Receptionist is responsible for helping with the day to day administrative duties to ensure smooth running of the office. The function will provide service to all the product lines in the office. The primary responsibilities are to provide receptionist cover, assist with travel bookings and provide administrative cover where required.
Key Areas of Responsibilities
- Manage the reception counter by receiving, screening and transferring to appropriate/relevant departments/units or concerned officer/staff.
- In charge of the Company's Community Outreach Program /Social Corporate Activities Event.
- Assist in travel and hotel arrangement for staff travelling locally and overseas.
- Process car request booking for staff, client and guests.
- Assist in the submission of medical reimbursements of all staff.
- Responsible for procurement of requested items from various departments, including posting and canvassing of quotations.
- Prepare, manage and update office inventory and working with vendors to ensure the regular supplies of office materials.
- Responsible for the booking of conference rooms for business related meeting.
- Keep and maintain administrative files.
- Gate pass and work permit preparation for office deliveries and pull-outs and admin work related maintenance.
- Perform assigned function/tasks in relation to ISO, such as recording and updating of the EMS (Environmental Management Systems) binder and its system.
Requirements
- Strong English communication skills (both written and verbal)
- Works well under time pressure
- Excellent organizational skills
- Ability to work independently
