Admin Associate - Contractor role at Global Payments Inc.
Summary of This Role: Answer telephones, screen calls, and take messages so callers/visitors are dealt with promptly, courteously, and accurately. Transcribe, type, format, and proofread a variety of material using word processing, presentation, graphics, and spreadsheet software. Coordinate internal and external meetings, including scheduling, travel arrangements for attendees, and ensuring meeting amenities are available. Manage the appointments and schedules of staff in the unit. Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.
What You'll Do- Act as the central point of contact for visitors, supporting management or a functional group. Greet visitors, clients, or guests in person or over the phone. Transfer callers or take messages and deliver promptly.
- Perform a mix of administrative tasks, including answering telephones and email, managing filing systems, handling mail, organizing meetings, and coordinating inter-office communications. Compile and analyze basic information for reports or presentation materials and prepare charts, graphs, or tables as directed.
- Coordinate meeting schedules, reserve conference rooms or conference lines, collect information, create meeting agendas, and document meeting minutes as applicable.
- Receive and respond to routine correspondence following established procedures not requiring management review.
- Maintain and update office supply inventories and manage restocking for printers and fax machines.
Minimum Qualifications
- High School Diploma or Equivalent
- Typically No Relevant Experience Required
- Associate's Degree
- Administrative Assistant or Business Administration
- Typically Minimum 2 Years Relevant Experience
- Customer service or administrative support
- Administrative Assistant certification (e.g., Certified Administrative Assistant, International Association of Administrative Professionals)
- Skills / Knowledge: Substantial understanding of the job and ability to apply knowledge to a wide range of tasks.
- Job Complexity: Works on routine to moderately difficult tasks, with some decision-making in resolving issues or making recommendations.
- Supervision: Normally receives little instruction; general guidance on newly introduced assignments.
- MS Office: Create Word, Excel, and PowerPoint presentations for divisional use and correspondence.
