As a People Operations (HR) Intern Coordinator at In Circle, you'll be the backbone of our People Operations department, ensuring our People Operations run smoothly and supporting our talented team. Your role will progress in one of 2 tracks: either everything in recruitment and learning and development or total rewards and employee engagement.

Roles and Responsibility:

Recruitment Support:

  1. Candidate Sourcing: Assist in sourcing candidates through job boards, social media, and other channels.
  2. Resume Screening: Review and assess resumes to identify suitable candidates.
  3. Interview Coordination: Help schedule interviews and communicate with candidates and hiring managers to coordinate timing and logistics.
  4. Job Posting: Support in drafting and posting job advertisements on relevant platforms to attract top talent.

Onboarding Assistance:

  1. New Hire Preparation: Prepare onboarding materials and assist with the onboarding process for new hires, ensuring they have everything they need to start successfully.
  2. Orientation Support: Coordinate and facilitate orientation sessions, including scheduling and logistical arrangements.
  3. New Hire Communication: Act as a point of contact for new hires, addressing initial questions and providing support throughout the onboarding process.

Employee Support:

  1. HR Administration: Maintain and update employee records, including contracts and personal information, ensuring accuracy and compliance.
  2. Policy Inquiries: Assist employees with inquiries related to HR policies, benefits, and procedures, providing clear and timely responses.

Administrative Tasks:

  1. Data Entry: Perform data entry tasks related to HR systems and employee records to ensure all information is current and accurate.
  2. Document Management: Organize and file HR documents, keeping them up-to-date and easily accessible for the team.
  3. General Support: Provide general administrative support to the HR team as needed, contributing to the smooth operation of the HR department.
  4. Scheduling and Coordination: Schedule training sessions, workshops, and events, managing logistics such as venue arrangements, materials, and technology setup.
  5. Record Keeping: Maintain accurate records of training activities, attendance, and certifications. Track and report on training metrics and outcomes.
  6. Budget Management: Assist in managing the training budget, including tracking expenses and ensuring cost-effectiveness.

Qualifications:

  1. Pursuing a Bachelor's degree in Human Resources, Business Administration, or a related field
  2. Capable of working independently and as part of a team
  3. Familiarity working in Google Suite
  4. Excellent communication skills, both written and verbal
  5. Excellent organizational and multitasking skills with a keen attention to detail
  6. Ability to handle sensitive information with discretion and professionalism
  7. Ability to speak to people across all levels and departments
  8. Prior internship experience in HR support or administration is an advantage
  9. Experience in assisting/executing events is an advantage
  10. Willing to commit at least 6 months to this internship
