Job Overview:

We are seeking a detail-oriented and skilled Purchasing Specialist to join the procurement team of our client. The ideal candidate will play a key role in negotiating contracts and pricing with vendors, creating purchase orders, and ensuring the smooth resolution of invoice exceptions. The Purchasing Specialist will work closely with internal teams and suppliers to secure high-quality products and services at the best possible value, while ensuring compliance with company policies and budget requirements.

Key Responsibilities:

  • Negotiate Contracts and Pricing: Engage with suppliers and vendors to negotiate favorable terms, pricing, and delivery schedules. Ensure the company's best interests are represented in all agreements.
  • Create Purchase Orders: Process and generate purchase orders (POs) for materials, equipment, and services required by the company. Ensure accurate and timely entry of PO data into the procurement system.
  • Invoice Exception Handling: Investigate and resolve invoice discrepancies, including pricing issues, incorrect quantities, and other billing errors. Work with vendors and internal teams to ensure prompt resolution of any invoice exceptions.
  • Supplier Relationship Management: Build and maintain strong relationships with existing suppliers while sourcing and onboarding new suppliers as needed. Ensure supplier performance meets company standards for quality, cost, and delivery.
  • Inventory Control Support: Collaborate with inventory and supply chain teams to track stock levels and maintain optimal inventory to support production and operational needs.
  • Contract Compliance: Ensure all purchase agreements and contracts comply with company policies and regulatory requirements. Monitor contract expiration dates and recommend renewals or renegotiations as appropriate.
  • Reporting and Analysis: Track procurement spend, identify opportunities for cost savings, and provide regular reports to management. Assist with budget preparation and cost forecasting.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field (or equivalent work experience).
  • Experience: Minimum of 3 years of experience in purchasing, procurement, or supply chain management. Previous experience in contract negotiation and handling purchase orders is preferred.
  • Strong negotiation and communication skills.
  • Excellent attention to detail and organizational abilities.
  • Proficiency in procurement software and Microsoft Office Suite (Excel, Word, etc.).
  • Ability to manage multiple tasks and priorities effectively.
  • Solid understanding of inventory management and procurement processes.
  • Certified Purchasing Professional (CPP) or similar certification is a plus.
