HR Administrative Staff – Operations Department

Reports To: Operations Manager / Operations Supervisor
Employment Type: Full-Time
The Administrative Staff in the Operations Department provides crucial administrative and clerical support to ensure the smooth execution of operational processes. This role assists in data management, documentation, scheduling, coordination with other departments, and maintaining accurate records. The role is vital in supporting the operational efficiency and effectiveness of the organization.
Key ResponsibilitiesOperational Support
Assist in preparing and maintaining operational reports, logs, and records.
Support inventory and supply chain documentation.
Track and monitor workflow processes to ensure compliance with operational standards.
Data Entry and Management
Enter, update, and maintain accurate records in databases and spreadsheets.
Compile data for internal reports and audits.
Ensure proper filing and easy retrieval of operational documents.
Coordination
Coordinate with other departments (head office, hr department) to support daily operations.
Arrange meetings and take minutes when necessary.
Documentation
Ensure documents are properly signed, scanned, and filed.
Handle confidential documentation securely.
Communication
Act as a point of contact for internal and external regarding operational queries.
Answer calls and emails related to operations and direct them to appropriate personnel.
Follow up on pending requests and activities related to the department.
Education: College graduate; Associate or Bachelor's degree in Business Administration or related field is a plus.
Experience: 1–3 years of experience in an administrative or operations-related role.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Familiarity with basic operations or supply chain processes.
Strong organizational and time-management skills.
Good communication and interpersonal skills.
Ability to multitask and work in a fast-paced environment.
