At TalentPop, we connect exceptional people with the right opportunities—and our team is growing fast. We're looking for a proactive and detail-oriented Recruitment Assistant to help keep our recruitment operations running smoothly.

This is a remote role where you'll collaborate closely with our experienced Recruitment Managers and play a vital part in ensuring a seamless experience for both clients and candidates.

What You'll Do
  • Provide dependable administrative and clerical support to the Recruitment Team.
  • Manage calendars, emails, and candidate communications throughout the hiring process.
  • Assist in preparing offer letters, onboarding documents, and other recruitment materials.
  • Maintain accurate data entry, records, and virtual document management.
  • Support the creation and improvement of recruitment processes, SOPs, and supporting materials.
  • Post job ads and prepare client and candidate-related documents.
  • Handle a variety of administrative tasks to keep recruitment operations moving forward.
What We're Looking For
  • 1+ year of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant.
  • Proficiency in Google Workspace (Sheets, Docs, Forms, Slides).
  • Highly organized, detail-oriented, and dependable.
  • Strong communication skills and the ability to work independently while being a collaborative team player.
  • Resourceful, proactive, and adaptable in handling multiple tasks.
  • Positive, passionate, and eager to grow with us.
  • Nice to have: Experience with HubSpot, Calendly, PandaDoc, Excel, or recruitment support.
Role Requirements
  • Reliable internet connection with at least 20 Mbps upload and 20 Mbps download speed (plus a backup ISP).
  • Reliable working PC (Intel i5 or equivalent).
  • Comfortable communicating via Zoom, Slack, phone, and email.
  • Availability during US PST hours: 9:00 AM – 6:00 PM PST (12:00 AM – 9:00 AM PH), or 10:00 AM – 7:00 PM PST (1:00 AM – 10:00 AM PH).
