Role Overview

A Payroll Analyst is a critical role that combines technical proficiency in payroll systems with strong interpersonal communication to maintain employee satisfaction, ensure compliance, and contribute to the organization’s financial health.

Duties & Responsibilities

• Payroll Processing & Timekeeping: Process employee payroll to ensure accurate and timely payment of salaries, bonuses, commissions, and other compensation. Manage payroll cycles (weekly, bi-weekly, monthly).
• Track Employee Hours: Verify time records, including overtime, sick leave, vacation, and PTO. Calculate hours worked based on timekeeping systems.
• Ensure Correct Deductions: Apply tax withholdings, benefit deductions, and other deductions per policies, union agreements, or legal requirements.
• Address Payroll Errors: Troubleshoot discrepancies and resolve them promptly.
• Respond to Employee Queries: Address questions about pay stubs, deductions, overtime, and tax withholding.
• Explain Payroll Information: Educate employees on payslips and complex payroll matters like deductions and benefits contributions.
• Assist with Payroll Discrepancies: Investigate underpayments or overpayments and make necessary corrections.

Collaboration With Internal Departments

• Work with Compensation and Benefits to keep employee records accurate and up-to-date (salary changes, benefits, employment status).
• Coordinate with Finance to ensure payroll costs are correctly reflected in budgets and financial reports.

Reporting & Documentation

• Prepare Payroll Reports: Generate accurate reports on earnings, deductions, bonuses, and taxes.
• Leave and Absence Reporting: Track and report leave balances and ensure policy and legal compliance.

Statutory Compliance

• Stay updated on labor laws, tax regulations, and payroll-related legislation to ensure compliance, including overtime and benefits.
• Government Compliance: Ensure accurate reporting for statutory benefits and filings with relevant authorities.

Payroll System & Process Improvement

• Improve Payroll Efficiency: Identify inefficiencies and suggest improvements, including automation opportunities or system upgrades.
• Testing & Implementation of New Systems: Help implement new payroll/timekeeping systems and ensure smooth data transition during upgrades.

End-of-Year & Audit Support

• Year-End Processing: Complete year-end payroll activities on time, including forms and reconciliations.
• Audit Support: Provide documentation and data for payroll audits; support compliance audits as needed.

Confidentiality And Data Protection

• Maintain Confidentiality: Handle payroll data with utmost discretion.
• Data Protection: Comply with data protection laws and company policies to safeguard payroll data.

Key Stakeholders

All employees, ICs, and trainees from the Support and Operations departments.

Skills and Competencies

• Payroll Processing: Deep understanding of wages, deductions, bonuses, overtime, PTO, and policy/compliance requirements.
• Tax Calculation & Compliance: Prepare statutory remittance and understand local/global tax laws affecting payroll.
• Tools and Payroll Software: Proficiency with payroll tools, time tracking software, self-service portals, and data management tools.
• Data Integrity & Reporting: Analyze payroll data, create reports, and identify discrepancies.
• Experience: At least 2 years of hands-on Philippine payroll processing experience with local tax, benefits administration, and wage regulations.
• Communication & Multitasking: Ability to manage a fast-paced workload and communicate effectively with internal teams.
• Technical Proficiency: Intermediate Microsoft Excel (essential) and PowerPoint (useful).
• Local Tax & Wage Knowledge: Understanding of BIR filings, SSS, PhilHealth, Pag-IBIG, 13th-month pay, overtime, etc.

Educational and Certification Requirements

• Bachelor’s degree in Accounting, Finance, or Management (related field).
• Certified Payroll Professional (CPP) is an advantage.

Direct Reports and Span of Control

This is an Individual Contributor role.
