Marketing Admin Support Lead

Kenvue Office | Hybrid Work Setup
Start Date: ASAP
Contract Duration: 1 Year (with possible extension)
Salary Range: PHP 45,000 – PHP 50,000
Work Schedule: Day Shift

About the Role:

We are looking for a highly organized and experienced Marketing Admin Support Lead to provide comprehensive administrative and operational support to the Marketing Director and lead a small team of administrative assistants. This is a key role in ensuring the efficiency and coordination of Marketing operations across the organization.

Key Responsibilities:

Administrative Support to the Marketing Director

  • Manage schedules, calendar invites, and expense reporting via Concur

  • Assist with government requirements, especially for expatriate personnel

Financial Coordination

  • Create purchase orders (POs) and track invoices for vendor services

  • Oversee monthly payment requests for Marketing-wide needs

  • Handle payments and documentation for suppliers such as GS1 and Telexpress

Marketing Operations & Events

  • Order marketing supplies and manage related POs

  • Coordinate monthly Marketing meetings and team activities

  • Support the implementation of department-wide initiatives and events

Team Leadership & People Management

  • Lead and supervise a team of Marketing Admin Assistants

  • Coordinate with agency partners for staffing needs

  • Review and submit bi-monthly timesheets

  • Monitor team performance and professional behavior

Communication & Internal Coordination

  • Draft and distribute internal communications regarding marketing promos

  • Ensure smooth onboarding and offboarding processes for Marketing employees

  • Coordinate workspace and IT access for new hires

Regulatory & Pricing Documentation

  • Handle ASC (Advertising Standards Council) application processes

  • Manage pricing documentation and coordinate with Accenture for system setup

Qualifications:

  • Bachelor’s Degree holder

  • Proven experience as an Administrative Assistant to a Business Unit Head or Marketing Director

  • Experience leading a small team of administrative professionals

  • Background in handling department-level events (e.g., teambuilding)

  • Must be proficient in Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel)

  • Knowledge and experience using SAP

  • Must have worked in a multinational company with expat coordination experience
