Position Overview

The Human Resources & Administrative Supervisor plays a key role in the daily operations of the department, ensuring smooth administrative and HR functions. This position is responsible for overseeing the administrative team's tasks, with a primary focus on ensuring operational compliance for our retail stores. The supervisor is also actively involved in the recruitment and hiring process for both head office and store personnel, providing essential support in various HR functions.

Duties and Responsibilities Administrative Functions
  • Oversee Business Permit Processes: Supervise the end-to-end process of applying for and renewing business permits for the head office and all branch locations. Ensure all deadlines are met and that compliance with local government regulations is maintained.
  • Coordinate Store Requirements: Act as the primary point of contact for store-related administrative needs, including securing permits, coordinating with mall administration for operational compliance, and processing maintenance work requests (MWRF).
  • Ensure Government Compliance: Supervise the submission of all necessary documents to local government units (LGUs) and other agencies, ensuring all compliances are strictly followed.
  • Manage Administrative Team: Provide guidance and direction to the HR & Admin Assistant on all administrative tasks, including processing forms and managing records. Conduct regular performance evaluations and provide coaching.
  • Process Vendor Payments: Oversee and approve payments related to business permit fees, government compliances, and other administrative expenses.
Human Resources Functions
  • Recruitment and Hiring: Oversee the end-to-end recruitment process for both head office and retail store positions. This includes creating and posting job ads, screening resumes, coordinating interviews, and assisting with the final selection of candidates.
  • Employee Relations Support: Assist in managing basic employee relations concerns, including administering initial disciplinary actions and performing coaching and counseling functions as needed.
  • Document Management: Supervise the processing of HR forms and documentation, such as warning letters, suspension notices, and other disciplinary documents, ensuring they are accurate and in accordance with company policy.
  • Training Support: Help coordinate and deliver training modules, including new hire orientation, product knowledge training, and store operations training.
  • Data Monitoring: Monitor and update department records and files, ensuring they are complete, organized, and secure.
  • Employee Engagement: Conceptualizes, designs, plans and submits for approval HR Programs which will help foster the welfare of the employees and promote a favorable working atmosphere.
Qualifications
  • Candidate must possess at least a Bachelor\'s/College Degree in Psychology, Human Resources, Business Administration, or a related field.
  • A minimum of 2-3 years of proven experience in an HR and/or administrative role, with a strong emphasis on government compliances and permits.
  • Demonstrated experience in a supervisory or team lead role.
  • Genuine interest in HR and extensive knowledge of administrative duties, especially those related to store operations and business permits.
  • Must be a detail-oriented individual with excellent organizational, written, and verbal communication skills.
  • Must be people-oriented, with the ability to build and maintain effective working relationships with internal and external stakeholders.
  • In-depth knowledge of labor law and HR best practices.
