Project Management Officer

Responsibilities Lead operational improvement projects from planning through execution. Automate workflows and reporting to increase efficiency across teams. Identify gaps and bottlenecks, proposing scalable, data-driven solutions. Run lightweight agile cadences (stand-ups, sprint planning/review/retro) for projects and maintain operations/project backlog through clear user stories. Stakeholder Collaboration Cross-Functional Coordination: Work closely with various departments, including finance, sales, and customer service, to ensure project alignment with business objectives and operational needs. Communication: Maintain clear and consistent communication with all stakeholders, providing updates on project status, risks, and issues. Facilitate meetings and discussions to ensure stakeholder engagement and alignment. Softr – Manage and maintain the front-end app for attendance automation (bagger & cashier group). Ensure smooth user interaction and accurate data flow to Google Sheets. Google AppSheet – Maintain and update the Shopsuki Driver’s App dashboard. Support troubleshooting and minor adjustments. Google Sheets – Create and manage data collection systems, summaries, automated dashboards, and quick reports using formulas and charts. This is a daily, core function. Airtable – Monitor, maintain, and adjust the backend for Shopsuki Driver’s App. Perform data checks and light modifications as required. Notion – Serve as the main documentation and project tracking hub. Maintain task boards, project logs, and timelines. Google Sites – Build and maintain internal reference hubs for documentation (e.g., guidelines, process references). Visio / Miro – Create process maps, flowcharts, and visual roadmaps for operational clarity and communication. Data & Process Optimization Collect, clean, and analyze operational data to generate actionable insights. Automate recurring reports and processes to save time and improve accuracy. Identify workflow inefficiencies and propose data-driven solutions. Documentation & Knowledge Management Maintain centralized and accessible documentation of processes, projects, and guidelines. Ensure knowledge is organized, searchable, and continuously updated. Knowledge Transfer & Transition Participate in structured handover sessions with the current role holder. Document and absorb all existing processes, workflows, and tools to ensure a smooth transition. Take full ownership of responsibilities post-transition with minimal disruption to operations. Mentor and support Operations Analysts in tool usage, automation, and documentation practices. Provide training and guidance on operational tools and best practices. Foster a culture of continuous improvement, knowledge sharing, and problem-solving. Qualifications Bachelor’s degree in Business, Operations, Data Analytics, or related field (or equivalent experience). Proven experience in an operations, business analyst, or data-focused role. Strong proficiency in Google Sheets (advanced formulas, pivot tables, charting, automation). Hands-on experience with no-code/low-code platforms such as Softr, AppSheet, Airtable, or similar. Comfortable with process visualization tools (Visio, Miro, Lucidchart, etc.). Excellent organizational and documentation skills. Strong problem-solving, analytical, and communication abilities. Familiar with Scrum/Kanban and backlog management Preferred Skills Experience in data automation or workflow integration between tools. Familiarity with project management practices (e.g., Agile task boards, trackers). Ability to translate operational needs into scalable system improvements. Prior exposure to retail, logistics, or workforce management operations is a plus. Detail-oriented and highly organized. Proactive in identifying inefficiencies and proposing improvements. Strong knowledge transfer and communication skills . Self-starter with the ability to manage multiple projects simultaneously.
