Position Summary The Program Coordinator handles a variety of administrative, data entry and project‑based tasks assigned by the Program Manager, including onboarding candidates, monitoring missing timesheets, expenses and invoice submissions, ensuring approval completion by payroll cut‑off, maintaining data within the VMS and client‑facing systems, and assisting with end‑of‑assignment work. Key Responsibilities Manage the general mailbox, providing timely and accurate responses to hiring managers and suppliers; research independently for resolution as needed. Assist the Program Manager, Specialists, Hiring Managers and Suppliers during all stages of requisition and contingent worker management processes (requisition approvals, interview scheduling, onboarding, off‑boarding, time and expense management). Support onboarding activities: ensure all steps are completed accurately and on time, including background checks, compliance documentation, system access setup, and day‑one readiness; collaborate with suppliers, hiring managers and internal teams. Support off‑boarding: ensure all termination activities are completed, including badge returns, system deactivations and off‑boarding documentation. Prepare and distribute weekly/monthly dashboards and ad‑hoc reports for clients and internal use. Monitor Power BI and VMS dashboards, documenting anomalies and proactively escalating potential issues. Meet weekly task and reporting deadlines; ensure tasks are performed to meet program SLAs. Follow up on missing timesheets, expenses, invoice submissions; send email reminders and facilitate uploads in the VMS. Run compliance reporting to maintain data integrity in the VMS; facilitate assignment extensions, work‑order modifications and end‑of‑assignment management. Performance Metrics (KPIs) Email & Ticketing Response Time – acknowledge within 1 hour of receipt and resolve per company SLAs. Completion of weekly reports by deadline. Compliance and management of program SLAs – 95 % or greater results. NPS Score – overall program satisfaction NPS score of 20 or greater with minimum 30 % response rate. Education and Experience High school diploma. 1‑3 years of experience as a recruiting assistant, staffing coordinator or administrative assistant. Technical Skills Proficient with Microsoft Office and Adobe. Knowledge of VMS, HRIS or ATS systems. Familiarity with office administrative procedures and standard office equipment. Soft Skills Team player. Time management and multi‑tasking. Attention to detail and accuracy. Strong follow‑up and deadline‑adherence. Good written and verbal communication. Ability to take direction and elevate problems. Travel Minimal travel as needed. Work Conditions This role operates in a professional office environment, using standard office equipment.
