Job Summary The HR Fleet Senior Manager will be responsible for the efficient and effective management of the company's entire vehicle fleet and motorpool operations. This role ensures the optimal utilization, maintenance, and compliance of all company vehicles, contributing to operational efficiency, cost control, and employee safety. The manager will lead a team of national fleet personnel and implement best practices for fleet management. Key Responsibilities Fleet Management Strategy: Develop, implement, and manage comprehensive fleet strategies, policies, and procedures to optimize vehicle utilization, reduce operating costs, and ensure compliance with all relevant regulations. Forecast fleet needs and propose additions, replacements, or disposals of vehicles based on operational requirements and budget constraints. Conduct regular analysis of fleet performance, fuel consumption, maintenance costs, and vehicle uptime. Maintenance and Repair: Oversee and manage the preventative maintenance (PM) program for all vehicles to ensure optimal performance, longevity, and safety. Coordinate and schedule all necessary repairs, ensuring timely and cost-effective solutions, whether in-house or through third‑party vendors. Maintain detailed records of all vehicle maintenance, repairs, and service histories. Manage inventory of spare parts and ensure availability for immediate repairs. Compliance and Safety: Ensure all vehicles comply with local, national, and company safety standards, environmental regulations, and licensing requirements (e.g., vehicle registration, emissions testing, insurance). Implement and enforce driver safety programs, training, and regular checks to minimize accidents and ensure adherence to traffic laws. Manage accident investigations, reporting, and insurance claims processes. Budget and Cost Control: Develop and manage the annual fleet budget, including vehicle acquisition, maintenance, fuel, insurance, and administrative costs. Monitor and analyze expenditures, identify cost‑saving opportunities, and implement initiatives to reduce operational costs. Negotiate contracts with vendors, suppliers, and service providers (e.g., fuel cards, maintenance services, vehicle purchasing). Vehicle Acquisition and Disposal: Manage the acquisition of new vehicles, including sourcing, procurement, and ensuring proper specifications. Oversee the timely and cost-effective disposal of old or redundant vehicles, adhering to company policies and environmental guidelines. Driver Management (if applicable): Manage and supervise a team of drivers, including scheduling, performance management, training, and adherence to company policies. Ensure proper vehicle assignment and usage based on operational needs. Technology and Reporting: Utilize fleet management software to monitor vehicle performance, driver behavior, and optimize routes. Generate regular reports on fleet metrics, costs, compliance, and overall efficiency for senior management. Record Keeping: Maintain comprehensive and accurate records for all vehicles, drivers, maintenance, and financial transactions. Qualifications Education: Bachelor's degree in Engineering, Logistics, Supply Chain Management, Business Administration, Automotive Technology, or a related field. Experience: Minimum of 7 - 10 years of progressive experience in fleet management, motorpool operations, or logistics, with at least 3 - 5 years in a supervisory or managerial role. Proven experience managing a diverse fleet of motorcycles, cars, vans, and executive vehicles. Skills: Strong knowledge of vehicle maintenance, repair processes, and automotive systems. Proficiency in fleet management software, GPS tracking systems, and Microsoft Office Suite (especially Excel). Excellent analytical, problem‑solving, and decision‑making skills. Strong negotiation and vendor management abilities. Exceptional organizational skills and attention to detail. Excellent communication (written and verbal) and interpersonal skills. Ability to manage budgets and control costs effectively. Knowledge of relevant safety regulations and environmental standards.
