I. DUTIES AND RESPONSIBILITIES 1. Operational Management Oversee daily operations to ensure efficiency and effectiveness. Develop and implement operational policies and procedures. Monitor and report on department performance. Ensure timely completion of departmental tasks and projects. Implement time management strategies to improve efficiency. Monitor project timelines and adjust resources as needed to meet deadlines. Oversee the work of Receivable and Payable Officers to ensure accuracy and efficiency. Review and approve invoices, payments, and receivables. Ensure timely collection of receivables and payment of payables. 2. Team Management and Development Lead, motivate, and manage the department team. Conduct performance reviews and manage staff development. Resolve team conflicts and foster a positive work environment. Provide coaching and mentoring to team members. Identify and develop potential leaders within the team. 3. Strategic Planning and Execution Develop and implement departmental strategies aligned with organizational goals. Monitor and adjust strategies based on performance metrics and feedback. Coordinate with other departments to ensure cohesive strategy implementation. Set clear, achievable goals for the team and ensure alignment with the company’s strategic objectives. 4. Budget, Forecasting, and Resource Management Manage department budgets and allocate resources efficiently. Monitor expenditures and ensure cost-effective operations. Identify and implement cost-saving measures. Ensure resources are available and appropriately allocated to meet deadlines and goals. Develop and manage the annual budgeting process. Prepare financial forecasts and update them regularly. Monitor and report on budget performance against actual results. 5. Financial Reporting and Analysis Prepare and present accurate and timely financial statements. Conduct financial analysis to identify trends, variances, and opportunities for improvement. Provide financial insights to support decision-making. Maintain open communication channels within the department and with other departments. Prepare and present reports on departmental performance and initiatives. Represent the department in meetings and external engagements. Ensure timely and clear communication of departmental goals, performance, and issues. 6. Compliance, Audit, and Risk Management Ensure compliance with accounting standards, tax regulations, and internal policies. Coordinate and manage internal and external audits. Implement and maintain internal controls to safeguard company assets. Conduct regular audits of inventory to ensure accuracy and compliance. Reconcile inventory discrepancies and implement corrective actions. Ensure proper documentation and recording of inventory transactions. Audit financial transactions to ensure accuracy and compliance with policies. Identify and investigate discrepancies or irregularities in transactions. Implement controls to prevent future discrepancies. Ensure department compliance with all relevant regulations and standards. Identify and mitigate risks within the department. Conduct regular audits and ensure adherence to compliance requirements. Maintain up-to-date knowledge of industry regulations and standards. II. JOB QUALIFICATIONS EDUCATION Candidate must possess at least a Bachelor’s/College Degree in Accounting, Finance, or a related field. WORK EXPERIENCE Preferably have at least 5 years of working experience in accounting and finance, with 2-3 years in a managerial role. LICENSE REQUIRED Certified Public Accountant (CPA) or equivalent certification preferred. TRAINING/CERTIFICATES Certifications in Accounting, Finance, or related fields are a plus.
