Title: Permit Specialist
Location: 100% Remote in Luzon region, Cebu City, Davao City and Iloilo City, Philippines
Shift: Flexible late shift; core hours 8:30 PM – 1:30 AM PHT (remaining hours can be completed before or after)
About The RoleTaxValet is looking for a permit specialist to help clients eliminate the hassle and risk of sales tax. You’ll use project management and attention to detail to assist clients with set-up within state tax systems quickly, enabling TaxValet’s filing team to pay taxes accurately and on time. This is a highly collaborative role involving clients, internal teammates, state agencies, and more.
The permit specialist will primarily be responsible for opening new sales tax accounts, closing existing accounts, preparing and sending Power of Attorney forms, and troubleshooting permit issues as they arise. You will communicate with US state government agencies and US clients; therefore, high proficiency and comfort with written and verbal English is a must .
With time, you’ll become an expert on state sales tax permits and a go-to person for advice. We’ll provide training and support—attitude and potential are more important than current knowledge or experience. Prior US sales tax experience is not required.
Your QualificationsWe are looking for someone ready to learn and grow professionally with a career mindset. We can train you on many things; here are non-negotiables:
Professional- Excellent English proficiency.
- Experience with project management; contract application and legal research preferred but not required.
- Bachelor’s degree in Business or related fields.
- Comfortable initiating phone calls, extracting necessary information, and following up persistently to achieve results.
- Capable of troubleshooting issues and finding solutions.
- Comfortable using different software to track projects and client information.
- Ability to manage multiple projects and meet deadlines efficiently.
- Accounting or finance background is helpful but not required.
- Positive references from past supervisors.
- High attention to detail and a perfectionist mindset.
- Self-starter with initiative; works well with minimal supervision.
- Excellent time management; avoids frivolous activities.
- Eager to learn new skills and technologies.
Please note: the final step before hire is to arrange reference calls with your former managers and others.
Your Primary Responsibilities- Permit Process. Manage new permit processes and existing permit verification, review client information, apply for sales tax permits, and create access to permit accounts to verify required details before handing off to the Sales Tax Accountant for filing. Communicate between the client and the state to ensure accurate permit information.
- Prepare and Submit Power of Attorney Forms. Send and submit POA forms granting TaxValet authority to communicate with Permits on behalf of the client.
- Permit Closures. Coordinate with the New Client Onboarding Specialist, Client Tax Specialist, and Sales Tax Accountant to close permits for new clients after nexus review.
- Support Clients. Provide ongoing support to new and existing clients during the permit process.
- Support Sales Tax Accountants. Share relevant permit or verification information to the assigned Sales Tax Accountant to enable ongoing filing and projects.
After a year on the job, you’ll be measured by these outcomes:
- Permit Process/Verification Time: Complete permit/verification within 39 days for 90% of clients.
- Permit Application Turnaround Time: All permit applications submitted within 48 hours of notification.
- Permit Capacity: Handle at least 80 permits/verifications per month.
- Education Hours: 3 hours per quarter in job-related education or training.
- Quarterly Rocks (Goals): 80% completion rate for rocks for the year.
We offer a monthly flat salary (67,045 PHP) and additional benefits:
- 43 days off per year (22 holidays plus 21 days of PTO)
