Procurement and Vendor Management Support ROLE SUMMARY Our client is seeking an Executive Assistant who will provide comprehensive support by managing email communications, curating daily priorities, coordinating vendor relationships, scheduling travel, and facilitating project coordination. This role ensures that the client can focus on high‑value activities such as design, product development, and strategic decision‑making. The ideal candidate is proactive, detail‑oriented, and fluent in English, with Mandarin language skills considered a strong advantage. They demonstrate exceptional organizational skills, sound judgment, and the ability to manage multiple priorities across international time zones and vendors. In addition, they must also be proficient with Microsoft Dynamics, Business Central, and productivity tools (Microsoft 365, Outlook, Excel), as the client needs someone who knows ERPs and can work in that environment. WORK SCHEDULE 7:00 AM – 4:00 PM Pacific Daylight Time (10:00 PM – 7:00 AM Philippine Standard Time), follows Philippine holidays POSITION TYPE Full Time WORK ARRANGEMENT Remote ESSENTIAL FUNCTIONS Perform the following email and communication management tasks: Curate the executive’s inbox by filtering emails into appropriate folders Highlight only key updates and urgent items requiring executive attention Draft responses to routine inquiries and answer simple questions on behalf of the executive Escalate technical or sensitive matters directly to the executive when appropriate Perform the following vendor and procurement support tasks: Research, compare, and summarize data on vendor pricing, quotes, and product options Manage vendor relationships across the US, China, and international markets Work with platforms such as Alibaba and Business Central to source suppliers Prepare purchasing recommendations and issue orders once approved Perform the following travel and scheduling responsibilities: Manage the executive’s calendar and schedule appointments Arrange travel itineraries, including international trips (e.g., China, Vietnam, Cambodia) with supplier visits Coordinate hotels, flights, and meeting schedules to optimize efficiency Balance the executive’s day to allow time for design, meetings, and vendor research Perform the following project coordination and research responsibilities: Support light project management, including scheduling and task tracking Research suppliers, manufacturers, and machinery options to support in‑house production initiatives Prepare summaries and recommendations to accelerate decision‑making Ensure that critical deadlines, deliverables, and action items are monitored and completed QUALIFICATIONS Bachelor’s degree preferred but not required 3+ years of experience as an Executive Assistant, Virtual Assistant, or in a similar role supporting senior leadership Experience in vendor research, procurement, and international supplier communication Proficiency with Microsoft Dynamics, Business Central, and productivity tools (Microsoft 365, Outlook, Excel) Fluency in English; Mandarin language skills are a strong advantage but not required Strong organizational skills with the ability to prioritize multiple tasks Strong written communication skills with the ability to draft professional responses Detail‑oriented, analytical, and comfortable managing data and quotes for comparison Experience in managing travel and international itineraries High level of discretion and professionalism when handling confidential information.
