Bookkeeper (Remote, Philippines) Role Overview The Bookkeeper supports the Head of Administration by owning day-to-day financial operations across Flywheel Holdings companies, with a focus on Big League Movers, Ready Roles, and On Deck Deliveries. This is a progressive financial operations role designed for someone who doesn’t just input numbers but questions every charge, surfaces cost-saving opportunities, and creates clarity for the business. This role is critical to the monthly close, AP/AR accuracy, financial hygiene, and cross-checking performance metrics. It is remote (PH-based) and operates in lockstep with U.S. leadership, providing operational leverage and reporting visibility across business units. The Bookkeeper reports to the Head of Administration and is trusted to maintain clean ledgers, audit inconsistencies, and proactively catch errors before they affect cash or margin. Core Responsibilities Accounts Payable Manage and input all vendor bills into Bill.com Submit bills for approval to the Head of Admin Ensure proper account coding and payment timelines Maintain vendor contact information and track recurring charges Proactively flag subscriptions, duplicate spend, or overbilling Accounts Receivable Track incoming payments and unpaid balances Generate invoices as needed (where applicable) Support collections follow-up by surfacing overdue items Assist with reconciliation of platform-based revenue or third-party transfers (e.g., Stripe, payroll, GoLance) Payroll Coordination Track hours for all U.S.-based team members (via Everee) and remote team (GoLance) Ensure payroll is submitted and processed on time per cycle Help Head of Admin with payroll audit prep (comparing hours, systems, and billing) Maintain monthly payroll summaries by team and function for reporting Month-End Close & Reporting Support Assist with the preparation and reconciliation of QuickBooks Online each month Identify gaps, double entries, or uncategorized transactions Ensure all receipts are uploaded and documentation is attached Support the Head of Admin in submitting final reports by the 6th of the month Financial Hygiene & Cost Control Maintain up-to-date financial records for all operating companies Spot cost anomalies and ask clarifying questions before approval Audit software and vendor billing — flag subscriptions for cancellation review Log recurring vendor costs and support quarterly spend reviews Success Metrics 100% of bills submitted with correct coding and timely approvals All payroll is processed accurately and on time Month-end reporting is completed by the 6th with no missing data 100% of QBO entries are tagged with documentation and account codes Subscriptions and recurring charges are reviewed and flagged monthly No financial escalations from missing data or AP/AR errors This Role Unlocks Clear financial visibility across all business units Fewer questions and escalations to the Head of Admin or President Trusted monthly close and budget alignment Margin protection through cost review and clean reporting Faster decision-making backed by organized, accurate books Internal cost clarity that supports leadership in planning and scale #J-18808-Ljbffr
