Executive Assistant and Reporting Analyst Cloudstaff – Makati, National Capital Region, Philippines We are looking for an Executive Assistant and Reporting Analyst to join our team at Cloudstaff, the #1 workplace everywhere The role is a full-time, in‑office position with a night shift schedule. Responsibilities Inbox Management Take full ownership of the CFO and Presidents email inboxes Ensure Inbox Zero is maintained daily by triaging, organizing, and responding to emails as appropriate Proactively filter out spam and irrelevant communications using rules, deny entries in Fusemail and best practices Leave only emails that require direct executive attention or response Draft and send professional correspondence on behalf of the executives Calendar & Scheduling Manage complex calendars, including scheduling meetings, appointments, and travel arrangements Anticipate scheduling conflicts and proactively resolve them Communication & Coordination Act as the primary liaison between the executives and internal/external stakeholders Prepare and review communications, presentations, and reports for executive meetings Coordinate logistics for meetings, conferences, and events, including venue selection and materials preparation Administrative Support Create, maintain and organize confidential files and ensure the integrity of sensitive information Monitor and prioritize incoming requests, ensuring timely follow‑up and resolution Assist with special projects and perform research to support executive initiatives IT Support Manage IT Support Cases and Salesforce development coordination Build reports using Power BI and similar tools Sage 100 and Salesforce updates Perform all other duties as assigned Qualifications Education and Experience High School Diploma (or GED or High School Equivalence Certificate) Bachelor’s degree preferred with two or more years of commercial electrical experience, or equivalent combination of education and experience Language Skills Read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community Effectively present information to management, public groups, and/or board of directors Interact clearly and effectively in both written and oral communication with supervisors, clients, staff, vendors, etc. Mathematical Skills Apply concepts such as fractions, percentages, ratios, and proportions to practical situations Computer Skills Proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Non‑Negotiable Skills & Requirements Working knowledge of Power BI for data visualization and executive dashboards Experience using Sage 100 for financial or operational support Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent organizational and multitasking abilities with a keen attention to detail Outstanding verbal and written communication skills Additional Details Seniority level: Associate | Employment type: Full-time | Job function: Management and Business Development | Industries: Outsourcing and Offshoring Consulting and Telephone Call Centers Equal Opportunity Employer – we welcome candidates of all backgrounds. #J-18808-Ljbffr
