Job Description:

As the Accounting and Admin Support Specialist, you will play a key role in maintaining accurate financial records and supporting core administrative operations. This role works closely with the Office Manager and Fractional CFO to ensure smooth day-to-day back office operations, financial compliance, and reporting accuracy. This is a primarily in-person role, with some flexibility for hybrid work as needed.

Responsibilities General Accounting
  • Maintain accurate and up-to-date financial records, including journal entries and general ledger reconciliations.
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Support month-end and year-end closing processes.
Accounts Payable and Receivable
  • Process vendor invoices and ensure timely payments.
  • Prepare and send invoices to customers, ensuring accuracy and timely follow-up on collections.
  • Reconcile accounts receivable and accounts payable balances.
Financial Compliance and Reporting
  • Ensure compliance with Philippine tax laws, including VAT, withholding tax, and corporate income tax.
  • Prepare and file local tax reports and liaise with tax authorities as needed.
  • Assist in creating financial reports for the FusionNode US, ensuring alignment with United States Generally Accepted Accounting Principles.
Payroll Processing Assistance
  • Assist in managing payroll operations, including the calculation of wages, overtime, bonuses, and deductions.
  • Support the team in ensuring compliance with applicable labor laws and tax regulations in the Philippines.
  • Help process employee salaries accurately and on time through the payroll system.
  • Assist in reconciling payroll accounts and preparing payroll journal entries.
  • Provide support in addressing employee payroll inquiries and helping resolve discrepancies.
Administrative and Back Office Support
  • Provide daily administrative support to the Office Manager, including documentation, logistics, and recordkeeping.
  • Support onboarding/offboarding processes by preparing checklists, files, and access credentials in coordination with HR/Admin.
  • Assist in managing vendor relationships, contracts, renewals, and compliance tracking.
  • Help track company assets, employee schedules, and maintain centralized digital records and SOP documentation.
  • Coordinate internal reports and ensure timely collection of updates and data from team leads.
  • Provide ad hoc assistance with special projects such as retreats, team events, client reports, and operational improvements.
Process Improvement and Compliance
  • Assist in maintaining and improving accounting and administrative SOPs.
  • Recommend and implement tools or workflows to improve efficiency and reduce manual tasks.
  • Ensure internal records and files are audit-ready and compliant with internal policy.
Qualifications Requirements
  • Bachelor’s Degree in Accounting, Finance, or a related field.
  • Minimum of 2-3 years of experience in accounting or bookkeeping roles.
  • Familiarity with Philippine tax regulations, including VAT and withholding tax.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Excel.
  • Strong attention to detail and ability to meet deadlines.
  • Excellent communication and problem-solving skills.
