Business Development Administrator (With EA Experience) supporting onboarding, transitions, and administration for Body Corporates. Enables BDMs to focus on sales by handling documentation, reporting, correspondence, and financial processing with precision.

The Qualifications We Seek
  • 4 - 5 years of experience
  • Strong organizational and time management skills
  • High attention to detail with a proactive approach
  • Clear, professional communication both written and verbal
  • Competence in Microsoft Office and document management platforms
  • Understanding of how to work with database systems is highly beneficial
  • Proactive and able to take initiative to solve problems independently
  • Ability to manage responsibilities independently while keeping key stakeholders informed
  • Experience or knowledge of Body Corporate operations is an advantage
Your Daily Tasks New Developments & Contracts
  • Assist in preparing final budgets for new developments, including obtaining quotes and reviewing contract terms and termination clauses
  • Return signed contracts to contractors, confirming billing details and start dates
  • Prepare maintenance summaries for Opening Meeting minutes
  • Process and send invoices to owners following meetings or settlements
AGM & Meeting Support
  • Attend and minute Annual General Meetings (AGMs) virtually alongside the BDM
  • Support the preparation and distribution of meeting notices, agendas, minutes, and levy notices
  • Complete post-meeting checklists and ensure documentation is filed correctly
Day-to-Day Management of Small Complexes
  • Oversee the general management of smaller Body Corporate complexes
  • Escalate matters to the BDM only when their input is specifically required
Handover of Existing Body Corporates
  • Contact all creditors to advise of change in BC Manager
  • Receive and review handover files, follow up on missing documents with prior administrators
  • Complete handover checklists and set up MyCommunity portals and USM files
  • Manage IRD authorisations with Committee Chairs where needed
  • Keep BDMs updated on setup progress and advise when handover meetings can be scheduled
Ongoing Administrative Support
  • Maintain up-to-date registers of owners and process ownership changes
  • Forward owner information to utility billing agents where applicable
  • Handle all email, phone, and written correspondence
  • Obtain insurance valuations and quotes for budgeting purposes
  • Prepare Section 146/147/148 statements, Certificates of Indebtedness, Deeds of Covenant, and manage ownership transfers
  • File annual financials with the Companies Office (NZ-based support required)
  • Manage digital archiving, welcome letters, and general system setup
  • Carry out all invoicing for all Body Corporates on behalf of each BDM
  • Take ownership of day-to-day administrative tasks to allow BDMs to focus on new business acquisition
  • Identify and research leads from BCI and other sources
  • Prepare weekly Business Development Reports and Referrals Reports to the CEO
  • Create and maintain SharePoint folders as required
  • Set up in-house AGMs (NZ-based only)
  • Assist in preparing annual or interim financial accounts as requested
  • Process supplier invoices in USM for review by the BDMs
