Overview

IQVIA Medical Communications is looking for an Event Coordinator to support participant experience in clinical trial training, across virtual and in-person formats. The team supports the Event Project Manager in delivering global events. Collaborating with Project Managers, the Creative/Writing/Editing team, Senior Venue Coordinators, and Finance support staff, the Delegate Coordinator ensures a smooth experience for participants in clinical training and engagement sessions. This role focuses on managing delegates in both in-person meetings and virtual engagements.

Responsibilities and Duties
  • Conduct a comprehensive search to determine event dates and ensure they do not conflict with major holidays, significant medical conferences, or other important meetings.
  • Assist in distributing pre-event surveys and sending save-the-date notifications to designated recipients in a timely manner.
  • Create dedicated registration websites for specific meetings and, in partnership with the Creative team, develop compelling invitations to boost attendance.
  • Assist in post-meeting wrap-up, including collecting participation data, generating electronic attendance certificates, and preparing post-meeting reports.
  • Upload documents into appropriate systems and maintain meticulous records.
  • Analyze data to identify discrepancies and propose corrective actions.
  • Demonstrate proficiency with Word, Excel, PowerPoint, Adobe, and other database/spreadsheet tools.
Qualifications and Skills
  • Bachelor’s degree required
  • 1–5 years related experience
  • Good verbal and written communication skills, telephone manner, teamwork, and flexible attitude toward work
  • Strong prioritization skills
  • Ability to establish and maintain effective working relationships with coworkers, managers, and clients
  • Ability to use initiative, plan ahead, be proactive in problem solving, diplomatic and able to demonstrate appropriate decisions
  • Intermediate proficiency in Word, PowerPoint, and Excel
  • Experience in managing events and client service
  • Experience with Cvent is a plus
  • Experience with Smartsheet and SharePoint is a plus
  • Amenable to work in Mckinley
  • Willing to work night shift
