To apply specialist project administration knowledge in support of consistent and high-quality service delivery to clients for Emergency Management and Emergency Preparedness services.
What you will do- Comply with all role specific SHEQ obligations as detailed in the relevant RACI matrix.
- Schedules services, completes document administration activities and administers projects for cost centre as per business requirements in support of maintaining client compliance with legislation and Australian Standards.
- Adheres to all mandatory commercial and financial project management expectations of business for project administration activities, including confirmation of Purchase Orders and pricing (or other formal client procurement mechanism), optimisation of delivery resource usage when scheduling events, and timely completion of timesheeting, project tracking data, and other project management data needs, as directed by Project Managers and Coordinators.
- Collaborates with and supports Project Managers, Project Coordinators, PFS, and delivery team members to provide high quality service to clients. Consistently utilises agreed automated and manual workflow steps to offer, confirm, issue and close out scheduled events, via timely interaction with, and update of, agreed tracking tools and processes.
- Supports pipeline generation via preparation of simple quotes for existing clients for scope variations and additional routine activities using simple quote template tool.
- Contributes to project culture in aligning to our guiding principles.
- Project Manage (PM) portfolios of one to five sites. Tasks include reviewing and approving invoices, reviewing portfolio compliance, and conducting regular review meetings.
- Typically 80% of time spent on client-facing and billable activities.
- Bachelors Degree or related field design
- Attendance as required at specific technical training courses
- Completion of relevant internal and external HSE training
- WSP WAY Level 1 Training and Project Management Training as required for role
- Client-centricity training (e.g. WSP Introduction to Client Experience)
- Gaining awareness of key external practice areas.
- Developing understanding in financial tools and systems used on projects
- Understands the resourcing procedure on projects.
- Effectively contributes to client relationship management through timely delivery and regular communication.
- Manages own work effectively and proactively supports colleagues in task delivery when requested.
- Understands the critical information and data requirements to successfully set up and track projects from initiation through deliver. Building awareness of project pricing for simple quotes, escalates substantial quote requests as per agreed process
- Working knowledge of Word, Excel, Outlook and Powerpoint. Working knowledge and use of automated workflow processes.
- Experienced in travel systems and coordination for simple projects
