About the Client Our client is a property development business in Australia, specializing in delivering residential and multi-unit projects across New South Wales. They manage the full lifecycle of their projects — through opportunity identification, due diligence, acquisition, design and Development Application to construction, completion, sales & marketing and final handover. They work closely with an ecosystem of trusted Architects and consultants throughout this process resulting in the management and coordination of many moving parts to deliver the high quality outcomes we strive for. Their culture is fast‑moving, organised, and focused on operational excellence, communication, and continuous improvement. About the Role They are looking for a proactive and highly organised Executive Assistant who can support the Founder with daily executive operations, communication, and project coordination. This role involves inbox and calendar management, task prioritisation, document organization, and overall executive workflow support. This is an ideal role for someone who excels in multitasking, organisation, and communication — and enjoys helping leaders operate efficiently and stay focused. Project management experience and strong familiarity with Google Workspace tools are essential. Knowledge of Flowlu is a plus. Key Responsibilities Manage and prioritise the executive’s calendar, appointments, and meetings. Handle inbox management – triage, draft replies, prioritise, and organise emails. Support project coordination and follow‑ups to ensure tasks and timelines stay on track. Maintain and organise digital files, documents, and workflows. Prepare reports, correspondence, and meeting notes when needed. Conduct light research and compile information for decision‑making. Assist in tool and process organisation within Google Workspace; knowledge of CRM and Project Management systems is essential and experience of Flowlu CRM is a plus but not essential. Provide general administrative support and help streamline operational tasks. Requirements 2‑4+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role. Strong experience in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail). Excellent email and calendar management skills. Good understanding of project management workflows and task‑tracking systems. Strong English communication skills – written & verbal. Highly organised, detail‑oriented, and proactive problem solver. Ability to work autonomously, manage multiple priorities, and deliver on deadlines. Experience in real estate, construction, or development is a plus but not required. Familiarity with Flowlu is an advantage. Work Arrangement & Expectations This is a remote role that will be set up as an independent contractor engagement.
