ACCOUNTABLE TO: Scheduling Department Supervisor (Chief Operations Officer in the absence of the Scheduling Department Supervisor)
ACCOUNTABLE FOR: Tracking and reporting provider productivity across all service types, ensuring timely, accurate service delivery in accordance with client category requirements, and communicating compliance issues to providers and management for timely resolution.

Summary of Position ResponsibilitiesThe Productivity Monitoring Specialist is responsible for monitoring service delivery across all provider types to ensure alignment with client category-based service frequency requirements. This role audits, reports, and communicates provider productivity to leadership to maintain compliance with agency standards and payer requirements. The specialist supports operational performance through data analysis, structured reporting, and timely communication with providers.
Scheduled Duties and Responsibilities- Monitor provider productivity to ensure service delivery meets required frequency based on each client’s category type
- Identify and report providers who fail to render services, and escalate to management for corrective action
- Maintain accurate records of productivity issues in the Productivity Report tracker
- Generate and distribute daily, weekly, and monthly productivity reports, highlighting rendered vs. scheduled services
- Export and clean raw productivity data; use pivot tables and VLOOKUP to analyze provider performance
- Email providers with compliance updates and follow up on unresolved productivity concerns
- Rank providers based on service delivery compliance and include rankings in reports
- Audit productivity data for the prior week, update tracking sheets, and filter for providers who rendered services to non-assigned clients
- Maintain and update caseload assignments and productivity summaries to ensure audit-readiness and data accuracy
- Identify and follow up with providers who:
- Have no recorded client encounters for the prior week
- Failed to schedule clients in ICANotes
- Rendered services to clients not assigned to them
- Log and track provider responses to productivity outreach emails
- Generate and distribute reports including but not limited to:
- Daily Reports: Psychiatric Nurse Practitioners’ end-of-day productivity summaries
- Weekly Reports: Provider productivity rankings and progress updates
- Monthly Reports: Full-month productivity summaries by provider type
- Prescriber & HH RN Daily Reports: Scheduled vs. rendered comparison
- Counselor & ECM Weekly Reports: Including rankings and service gaps
- DSP & CPRS Weekly Reports: Including productivity rankings and rendered-but-not-scheduled monitoring
- Assist the supervisor with additional reporting, auditing, or productivity-related requests
- Participate in compliance initiatives, audits, and performance improvement activities
- Maintain up-to-date documentation of all provider communications and follow-ups
- Track recurring productivity concerns and flag trends for leadership review
- Support onboarding or training of new providers regarding productivity expectations
- Maintain confidentiality of provider and client data in compliance with agency policy
- Adapt reporting templates and data systems to meet evolving program needs

- Frequent meetings via video or phone; occasional in-person site visits

- Fast-paced, deadline-driven environment with collaborative teams
- Proficiency in Excel, including pivot tables, VLOOKUP, filtering, and data cleaning
- Strong organizational and time management skills
- Keen attention to detail and ability to spot discrepancies
- Excellent written communication skills for outreach and documentation
- Familiarity with ICANotes or other EHR platforms preferred
- Ability to track, prioritize, and follow up on multiple productivity issues concurrently
- Team-oriented with a proactive and problem-solving mindset
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred
- Minimum 1–2 years of experience in healthcare, behavioral health, or data reporting roles
- Prior experience with productivity tracking, quality assurance, or healthcare scheduling strongly preferred
- Must pass background check and reference verification
- Knowledge of HIPAA and confidentiality protocols required
