The Claim Coordinator is responsible for supporting the end-to-end claims process related to transportation, warehousing, and customer disputes. This role ensures timely collection of supporting documents, accurate claim validation, and clear communication with internal teams, carriers, and customers. The member plays a critical role in reducing revenue leakage, improving claim resolution turnaround, and maintaining compliance with client and carrier requirements.
Key ResponsibilitiesClaim Intake & Documentation
- Receive, log, and track claims (loss, damage, shortage, detention, demurrage, chargebacks, etc.).
- Review incoming claim requests for accuracy and completeness.
- Collect proof-of-delivery (POD), bills of lading (BOL), photos, invoices, and other required documentation.
- Validate claims against contracts, SOPs, and carrier/client agreements.
- Escalate discrepancies or missing information to Operations, Customer Service, or Warehouse teams.
- Assist in preparing claim packets for submission to carriers or clients.
Communication & Coordination
- Act as a liaison between internal departments (Operations, Customer Service, Billing) and external stakeholders (carriers, vendors, clients).
- Provide claim status updates to customers and account managers.
- Support resolution of claim disputes by clarifying details and ensuring compliance with claim timelines.
- Support other functions in the same group when it is needed.
Reporting & Analysis
- Maintain accurate claim logs and trackers in WMS/TMS/ERP systems.
- Prepare periodic reports on open claims, resolution timeframes, recovery rates, and root causes.
- Support continuous improvement by identifying recurring claim trends.
Qualifications
Education: Bachelor’s degree preferred (Supply Chain, Business Administration, or related field) or equivalent work experience.
Experience:
- 1–3 years in logistics, transportation, warehousing, billing, or claims support.
- Familiarity with 3PL operations and carrier processes (UPS, FedEx, USPS, LTL, FTL, drayage) is an advantage.
Skills:
- Strong attention to detail and organizational skills.
- Proficiency in MS Excel, Word, and claim management systems (WMS, TMS, ERP).
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
