Overview Solaire Resort Entertainment City | Full time Date Opened 06/19/2025 State/Province National Capital Region (Manila) Country Philippines Position Marketing Administrator, Events & Promotion Job Description SOLAIRE RESORT ENTERTAINMENT CITY POSITION SUMMARY The Marketing Administrative Assistant supports the Events & Promotions team and is organized and detail-oriented. Reporting directly to the Senior Manager, this role will provide essential administrative assistance, managing various paperwork processes, promotional calendars, and ensuring accurate documentation and records. The ideal candidate must be adept at handling multiple administrative tasks efficiently, maintaining confidentiality, and supporting the smooth operation of marketing activities. Responsibilities Assist in processing payment requests, ensuring timely submission, follow-up, and documentation. Compile and manage quotations and bids, coordinating with vendors and internal teams. Accurately handle stock management processes including transfers in and out for audit and inventory control purposes. Manage and maintain the team’s promotional calendar, ensuring it is up-to-date and accurately reflects ongoing and upcoming marketing activities. Oversee physical and electronic filing systems, ensuring documents are organized, accessible, and secure. Coordinate team rostering, managing schedules, leave requests, and coverage to ensure operational efficiency. Provide general administrative support such as arranging meetings, preparing agendas, and documenting meeting minutes. Support procurement processes by tracking purchase orders, invoices, and delivery statuses. Maintain and update marketing databases and contact lists regularly. Assist with internal and external communication by responding promptly to inquiries and providing necessary information. Ensure compliance with internal policies and regulatory requirements in all administrative processes. Liaise effectively with internal departments and external vendors, ensuring clear communication and streamlined processes. Conduct routine audits and checks to ensure documentation accuracy and completeness. Support the preparation and distribution of marketing materials as required by the team. Requirements EXPERIENCE REQUIRED Minimum 2 years of experience in administrative roles, preferably within marketing or events environments. Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Exceptional organizational and multitasking skills with keen attention to detail. Strong communication skills, both written and verbal. Ability to manage multiple projects simultaneously and meet deadlines consistently.
