JOB SUMMARY

Under the direct supervision of the Supervisor / Sr. Supervisor, the Paralegal Officer will be responsible for providing legal work and PEO compliance tasks.

II. DUTIES & RESPONSIBILITIES
  1. Manage the application, renewal, and compliance of PEO licenses across multiple U.S. states.
  2. Verify active licenses of new worksite locations.
  3. Report new and terminated worksites to various state agencies in a timely manner.
  4. Monitor changes in laws and reporting requirements, updating processes accordingly.
  5. Communicate professionally with IRS, over 30 state licensing agencies, and the Department of Labor in the US.
  6. Research and generate monthly, quarterly, and bi-annual licenses and reports.
  7. Organize and file client information, reports, and documents.
  8. Perform other duties as required by the PEO and REI.
  9. Conduct biannual reviews of state-specific licensing regulations for all PEO entities.
  10. Perform other project-related tasks.
  11. Adhere to standard operating procedures and work instructions.
  12. Attend project orientation and training sessions as necessary.
  13. Report issues with client applications to the immediate superior.
  14. Report machine/network breakdowns to the immediate superior.
  15. Ensure compliance with company rules, including Employee Code of Discipline, QMS, ISMS, EHS, EMS, DPA, and other policies.
  16. Ensure compliance with NCAPACs and address audit findings within prescribed periods.
  17. Report security incidents or weaknesses.
  18. Perform other tasks as assigned.
III. JOB REQUIREMENTS
  • Bachelor's degree in legal management, Business Administration, Paralegal Studies, Political Science, Mass Communication, Journalism, or related field.
  • At least 1 year of proven experience as a Paralegal or similar role.
  • Experience in customer service, legal services, or client engagement.
  • Excellent analytical, comprehension, communication, and interpersonal skills.
  • Strong leadership qualities.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Ability to work under pressure, be meticulous, responsible, and flexible.
  • Ability to multitask and collaborate effectively.
  • Decision-making skills and prompt action.
  • Good reading comprehension skills.
  • Commitment to the company's vision & mission.
  • Customer focus, excellence, respect, teamwork, integrity, and commitment (CERTIC).
  • Ability to operate in a fast-paced, diverse environment.
  • High professional and ethical standards.
  • Work schedule flexibility: Monday to Friday or Tuesday to Saturday, starting at 5am or 7am.
  • Willingness to work a 48-hour compressed workweek within 5 days.
  • Amenable to start in the first or second week of July.
