Responsibilities Asset Coordinators play a crucial role in managing and organizing the client’s digital assets. This role encompasses the end‑to‑end life cycle of Asset Management from start of a contract to the end and in between which involves account builds, steady state MACD management, device connectivity, reporting, etc. Overall, an Asset Coordinator is responsible for managing customers’ assets and account information in Xerox databases from the start of the contract. Key Roles & Responsibilities / Key Job Functions XSM Device Management Ensure that incidents raised are addressed and resolved within the predetermined amount of time for each account Ensure that assets are connected to the network and report continuously when required (Run Device discoveries) Ensure that assets are managed and send alerts for supplies and break‑fix Load maps provided in the system as needed and ensure that the asset is placed in the right location in the map (Asset mapping) Ensure all assigned assets are accurately connected, mapped, and validated within the system, promptly addressing incidents and maintaining data integrity through regular asset validation and management activities XSM Account Management Process MACDs (Move, Add, Change, Disposals and Storage) Create site (location of the asset), contacts and charge‑back code per request Conduct data integrity checks to ensure that all assets follow the account requirements (Account maintenance) XSM Meter Management As part of account maintenance for operational and billing purposes, validate meters and ensure that they are loaded correctly and that there are no invalid raw meters or meters outside the daily threshold agreed upon in the statement of work (SOW) Load meter readings provided manually in the system and ensure that assets that are in contract have meters Load meter readings as a reportable meter for operational and billing purposes XSM Reporting Provide accurate, timely, and professional reports to the account and billing teams for historical analysis, current status, and billing purposes Generate meter volume report and MACD report Provide export of newly discovered devices Generate and deliver general reports to support operational and billing requirements Others Conduct targeted QA monitoring and account inspections to ensure data integrity, operational compliance, and timely issue escalation – entrusted to individuals with proven operational maturity and performance Participate in and lead discussions Assist new team members Competencies, Skills, Knowledge & Abilities Skills Communication (verbal and written), interpersonal, problem‑solving, and customer service skills – Minimum Negotiation and conflict management skills – Preferred Excellent team working skills and flexibility in approach to work – Minimum Ability to generate reports suitable for management presentation/​audit – Preferred Good leadership and influence skills – Preferred Ability to engage socially with clients, partners, or account management teams – Preferred Ability to operate within a team and participate on conference calls – Preferred Eye for detail with high level of accuracy; data analysis of large datasets – Preferred Ability to follow processes precisely and execute commands with zero errors – Preferred Knowledge Understanding of Xerox products, solutions, and services (key offerings) – Preferred Good knowledge of computer usage and Microsoft Office software (especially Excel) – Minimum Abilities Ability to work with minimal supervision; highly self‑motivated – Minimum Proven track record in delivering high‑quality customer service – Minimum Ability to perform and make informed decisions under pressure – Minimum Ability to meet tight deadlines – Minimum Ability to work on a flexible schedule – Minimum Must be able to report to the office – Minimum Ability to comprehend requirements, share point of view, and ask clarifying questions – Preferred Competencies / Skills Analytical and technical skills - Intermediate Written and oral communications skills - Intermediate Communicates (phone, chat, email) effectively and efficiently to advance business aims and achieve desired results - Intermediate Interpersonal and administrative skills - Intermediate Problem solving and decision‑making skills - Intermediate Time and Management Skills - Intermediate Prioritizes areas that need attention and provides timely updates for deliverables and inquiries without prodding or follow up - Advanced Education, Experience & Certifications Basic Requirements BA/BS degree in Business Management, Engineering, Computer Science, IT or equivalent. Master’s degree in Business Administration a plus. Work experience as Process Engineer, Quality Engineer, Manufacturing Supervisor, QA Analyst, Reports Analysts, BPO SME's (Level 2 or floorwalkers), Team Leader a plus Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and complex formulas. Strong analytical and problem‑solving skills. Excellent verbal and written communication skills. Ability to work independently and as part of a team.
