Context

The Project Support Specialist will focus on implementing processes, controls and resources to win work and deliver work with safety, quality and value for clients and SYSTRA.

Responsibilities
  • Coordinate and monitor project timelines, deliverables, and milestones to ensure projects stay on schedule and within scope.
  • Respond to inquiries and resolve issues related to project operations, contracts, and service delivery.
  • Develop, review, and negotiate variations to contracts, programs, and project documentation.
  • Collect and analyse data related to projects, identifying areas for improvement and ensuring accurate reporting.
  • Collaborate with Project Managers and other stakeholders to achieve project objectives.
  • Provide administrative and logistical support, including coordinating meetings, managing budgets, and processing invoices.
  • Support the procurement process by onboarding new suppliers, tracking purchase orders, managing vendor communications, and ensuring timely delivery of project resources.
  • Track project expenses and budget allocations, flagging discrepancies for timely adjustments.
  • Maintain accurate records, ensuring compliance with project requirements, policies, and industry standards.
Qualifications
  • Education: Diploma or higher qualification in Business Administration, Project Management, or a related field.
  • Experience: 2 – 4 years professional experience.
  • High attention to detail with the ability to tailor written and verbal communication to targeted audiences’ requirements.
  • Ability to communicate complex subjects clearly and accurately; capable of producing written materials with minimal guidance.
  • Teamwork, problem solving, planning & organisation, and a proactive mindset.
  • Understanding of project management procedures and ability to prioritise and manage multiple tasks.
  • Commercial awareness and familiarity with standard bid information and client relations.
