Administrative Assistant Primary responsibilities include telephone reception, visitor management, office administration and communications support. Reception & Visitor Management Screen all incoming telephone calls passing through the telephone trunk line Welcomes visitors by greeting them in person or on the telephone and answering or referring their inquiries Receive and dispatch mails and documents from senders to external/internal recipients Coordinate with building security for accessing guests to the office Make follow up calls to suppliers and other business contacts Monitor arrival and departure of visitors in the reception area. Office Administration Inventory and distribution of office supplies and consumables Ensure timely preparation of the Purchase Orders (POs) for the office supplies and equipment acquisition Updates supplies request in the Supplies House Ordering and Purchasing System (SHOPS) Release of checks as payment Customer Checkbook processing Coordinate with service providers for necessary maintenance of office equipment Supervise cleaning of office premises. Communications Perform duties related to SWIFT and fax communications in the absence of the person in charge Perform 1st decision approval in OFAC System in the abence of the person in charge. Expense Administration Handle petty cash administration Prepare instruction sheet for expense payment processing including preparation checks, remittances, credit advice and tax certificates preparation. Other Duties Store and manage Unprocessed Articles Perform other tasks as may be assigned by the AD Manager.
