About the Role

We're looking for a highly organized and polished Events & Proposal Coordinator to join the team at The Upper Deck, Metro Manila's premier urban sports and wellness facility.

This role is central to the success of our events — from corporate tournaments and sportsfests to private functions, brand activations, and training workshops. You'll work closely with internal departments (gym, courts, spa, dive center, catering, and operations), while also serving as the main point of contact for clients, ensuring every event is professionally planned, properly documented, and seamlessly executed.

If you have strong attention to detail, excellent communication skills, and the ability to educate clients on our full range of services, this role is for you.

Key Responsibilities

  • Coordinate end-to-end planning of events hosted at The Upper Deck (sports, wellness, corporate, private, or social)
  • Meet with potential clients, conduct facility walk-throughs, and present available packages and amenities
  • Prepare formal proposals, quotations, contracts, and required documentation
  • Work closely with internal teams (courts, gym, spa, security, maintenance, F&B, dive team) to align execution timelines
  • Ensure all event requirements, layouts, and logistics are properly communicated and confirmed
  • Monitor timelines, payments, permits, and requirements per event
  • Represent The Upper Deck with professionalism in all client meetings and touchpoints
  • Troubleshoot issues calmly and proactively on event days; provide hands-on coordination support when needed
  • Maintain proposal templates, price lists, and event portfolio updates
  • Contribute to marketing and business development efforts related to event bookings

Qualifications

  • At least 1–2 years experience in event coordination, client servicing, or sales support
  • Strong writing skills; able to draft professional proposals, contracts, and email correspondence
  • Well-spoken, polished, and confident in dealing with corporate clients and walk-in guests
  • Highly organized and detail-oriented
  • Comfortable working with internal teams to manage timelines and resources
  • Proficient in MS Office or Google Suite (Docs, Sheets, Slides); knowledge of Canva or CRM tools is a plus
  • Flexible to work occasional weekends or extended hours during major events
  • Background in hospitality, marketing, events, or fitness is a plus

  • After listing the venues, approach them by email or Instagram. Visit there and convince/negotiate for holding our event. Talk to the owner and manager. This is how we do.
  • After finding the venue, almost all the difficult parts were done. Then prepare the events with the sales, logistics, and inventory team. Book Lalamove for ingress and egress etc.
  • We also organize the event monthly overseas. Sometimes we might ask you to fly overseas too but this is advanced level. Don't worry :) Manila first.
