Responsibilities
  • Processes investigator payments by:
  • Managing the investigator payment portion in CTMS tools (e.g., IMPACT, Medidata, Clinpay)
  • Reviewing data with the project manager for quality and completeness
  • Processing and creating approved grant payment requests via CTMS tools and interfacing with Accounts Payable as needed
  • Distributing investigator payments to respective sites
  • Facilitating site payments with internal groups (clinical operations, project management, accounts payable/receivable, site contracts) and coordinating with regional colleagues for a global view of payment/funding status
  • Collaborating with accounts receivable and project management to ensure advance funding is received from sponsors and deposits are available before processing payments
  • Creating, maintaining, and reconciling an MS Excel Project Grant Tracker
  • Reviewing and interpreting Clinical Trial Agreements (CTAs) and amendments to ensure payments align with terms; escalate discrepancies as needed
  • Guiding project teams through the grants payment process and system navigation
  • Researching, compiling, and creating information to support sponsor invoicing
  • Identifying and addressing invoice discrepancies, past due invoices, and refunds with sites
  • Ensuring proper account and project coding on third-party invoices related to investigator payments
  • Creating project reports for sponsors, operations, accounting, and upper management to support Sunshine Act reporting and monthly close, plus ad hoc financial analyses
  • Assisting Investigator Payments Manager with audits of site payments and sponsor deposits
  • Minimal travel may be required (up to 25%)
  • Works with sponsor systems/applications as required by the project

Summary: Administers payments to Investigators & Institutions participating in clinical trials in accordance with sponsor and organization requirements; coordinates funding prior to payments and communicates site payment status.
