The Payroll Specialist is responsible for supporting payroll operations by ensuring the accurate and timely processing of employee compensation and statutory remittances. This includes preparing and reviewing payroll data, applying payroll principles and taxation rules, and ensuring compliance with government regulations and client policies. The role requires strong attention to detail, proficiency in payroll tools and systems, and the ability to manage sensitive information with strict confidentiality. The Payroll Specialist works closely with senior specialists, managers, clients, and government agencies to address payroll-related issues, maintain accurate records, and meet critical deadlines. Depending on the engagement’s size and complexity, the Payroll Specialist may also assume the responsibilities of a Senior Payroll Specialist.
Primary Duties & Responsibilities- Engagement Management
- Understand payroll principles, taxation, and relevant laws to perform the job effectively.
- Review, update, and fully understand the client’s standard payroll process or engagement manual.
- Carry out assigned procedures from the Senior Payroll Specialist and/or Payroll Manager.
- Keep superiors informed of work progress; provide feedback on completed tasks, challenges encountered, and issues identified. Record and report all issues properly.
- Communicate with clients, as instructed or approved by the Payroll Manager, regarding payroll instructions, clarifications, or issues.
- Make effective use of payroll tools and systems such as Dorado Payroll System, Nexus, Office 365, and government portals (SSS, PhilHealth, Pag-IBIG, BIR).
- Ensure deliverables are consistently accurate and complete.
- Submit deliverables on time, ensuring they are sent to authorized recipients, correctly addressed, and marked confidential when required.
- Adapt willingly to new or different assignments and schedules, adjusting methods as needed while maintaining ethical standards.
- Seek and recommend efficient ways to accomplish objectives.
- Stay receptive to new ideas and demonstrate a positive attitude when applying new approaches.
- Perform other tasks assigned by superiors, including administrative work or monitoring.
- Relationship Management
- Promote the image of the Firm and Client as a provider of high-quality services through professionalism and responsiveness to client needs.
- Work harmoniously and effectively with other team members.
- Actively participate in official Firm and Client activities such as strategic planning, team-building sessions, and socials.
- Maintain a consistent “can-do” and positive attitude in accepting assignments and working with colleagues.
- Professional Development
- Attend on-the-job training or internal/external seminars for professional growth.
- Request Performance Appraisal Reports (PARs) from the Senior Payroll Specialist and/or Payroll Manager for each engagement.
- Comply with required Division examinations and trainings (Probationary Exam, Diagnostic Exam, etc.).
- Participate in internal audits of the Division (AS, ISAE, IQCR, etc.) and in external audits when part of the engagement.
- Complete an Individual Development Plan and discuss it with the assigned coach.
- Reach out to mentors and participate in mentoring and coaching activities.
- Administrative Functions
- Comply with Firm and Client administrative processes, policies, and procedures.
- Suggest improvements in Firm and Client processes, policies, and procedures.
- Complete all required monitoring reports and surveys on time.
- Complete and submit accurate time reports in a timely manner.
- Maintain strict confidentiality of engagement-related information; do not disclose or use any information acquired during the engagement except as necessary to properly perform work.
- Bachelor’s degree in Finance/Accountancy/Banking, Business Studies/Administration/Management, or equivalent
- At least 6 months of relevant experience in payroll, finance, or a related field
- Strong attention to detail and accuracy
- Well-developed communication (oral and written) skills
- Good interpersonal skills
- Positive work attitude with the ability to adapt to multiple engagement managers and shifting priorities
- Proficiency in Microsoft Excel
