Overview

Project Coordinator - Ecommerce Email Marketing Agency (Remote – Philippines or Indonesia)

In this pivotal role, you will be the backbone of our internal project management process, ensuring smooth communication between clients and our talented strategists, specialists, designers, and copywriters. Your ability to facilitate brief client approvals and assign tasks effectively will be crucial to maintaining our high service standards and delivering exceptional results for our clients. (Although you will be communicating with clients, you will not be required to attend face-to-face meetings)

• Coordinate and manage the approval process for client briefs, ensuring timely responses and clear communication.
• Assign tasks to team members, including strategists, specialists, designers, and copywriters, based on project requirements and workload.
• Monitor project timelines and milestones, ensuring that all deliverables are completed on schedule.
• Maintain organized project documentation, including briefs, timelines, and status updates for easy access by the team.
• Facilitate regular team meetings to discuss project progress, address any roadblocks, and ensure alignment on goals.
• Act as the main point of contact for clients regarding project updates and feedback, fostering strong client relationships.

Your day-to-day will include…

• Transferring briefs from working docs prepared by strategists, into a project management system for production
• Clarify deliverable requirements as required, with a strategist, to ensure specialists, designers, and copywriters have sufficient information to complete tasks
• Getting client approval of base email templates in our project management system
• Getting clients to approve briefs in the project management system (in tandem with the strategist)
• Checking if edits are required, then actioning them with the team
• Requesting assets from clients, where needed
• Assigning client onboarding tasks to relevant team members
• Assigning recurring tasks to relevant team members for production
• Ensuring team members are completing tasks on time, check-in where necessary
• Ensuring that when the client leaves comments on copy/design, they\'re being followed through by a copywriter/designer/specialist
• Minimum 1+ years in a project management role, preferably within an agency
• Familiarity with ClickUp and Google Workspace is necessary. Skills using Klaviyo and Figma are preferred.
• Ability to work in a fast-paced environment, manage multiple projects simultaneously, and meet deadlines.
• Strong customer service and communication skills, with the ability to work directly with clients and internal teams.
• High level of attention to detail to ensure deliverables meet client and agency standards
• Understanding of email marketing workflows and production is a plus
