Overview The detail-oriented and proactive HR Coordinator will support the HR team in a variety of human resources functions. This role will focus on HRBP coordination, HRIS data maintenance, the generation of HR letters, work pass applications and renewals, airport pass applications, WICA (Work Injury Compensation Act) management, recruitment coordination, as well as onboarding and offboarding processes. The HR Coordinator will work closely with the HR Business Partner and play a key role in ensuring the efficient and smooth operation of HR-related activities in the organization. Responsibilities HRBP Coordination Provide administrative and operational support to HR Business Partners (HRBPs) in various HR-related tasks. Assist in planning and execution of HR initiatives and projects. Coordinate and facilitate HR-related meetings, workshops, and related activities. HRIS Data Maintenance & Management Maintain accurate and up-to-date employee records in HR systems in a timely manner. Oversee onboarding and offboarding processes, ensuring all relevant documentation and steps are completed for new hires and exiting employees. Assist with HR data reporting and analytics as required. HR Letters Prepare and issue various HR-related letters (e.g., employment confirmation letters, salary adjustment letters) and other employee correspondence. Ensure all HR letters comply with company policies and legal requirements. Work Pass Applications, Renewals, and Cancellations Manage and process work pass applications, renewals, and cancellations for foreign employees. Ensure compliance with Ministry of Manpower (MOM) regulations and timelines. liaise with employees and relevant government authorities regarding work pass matters. Airport Pass Applications Process applications for airport passes for employees as required. Ensure documentation is in place and compliant with airport regulations. WICA Management Oversee end-to-end management of WICA claims, including submission, follow-up with insurance providers, and efficient claim processing. Communicate with employees and relevant parties to ensure timely and accurate handling of claims. Recruitment Coordination Coordinate recruitment by scheduling/interviewing between candidates and hiring managers. Prepare offer letters and manage pre-employment checks and documentation. Conduct reference checks and maintain ongoing communication with candidates to ensure a positive experience. Send regret emails to rejected candidates. General HR Support Provide general administrative support to the HR team. Respond to employee queries and provide guidance on HR-related matters. Compliance & Other Duties Adhere to workplace safety, security, and health policies and to employment legislation and company regulations. Perform any other duties as assigned by the reporting officer. Qualifications Education : Diploma in Human Resources, Business Administration, or a related field. Experience : Prior experience in HR or a similar administrative role is preferred. Skills : Strong attention to detail, excellent organizational and time management skills; strong communication and teamwork abilities; proactive and solution-oriented with a willingness to learn. Systems : Familiarity with SAP and HRMS systems and the ability to quickly learn new tools. Knowledge : Knowledge of employment laws and work pass regulations is a plus; ability to handle sensitive and confidential information with discretion.
