Learning Services Administrator - Accounts V.Group Manila, National Capital Region, Philippines Location Country: Philippines Work Location: Manila Overall Purpose of The Job: The Learning Services Administrator plays a critical role in supporting the operational and financial administration of marine L&D. This role ensures accurate expense validation, cost control, and invoicing processes across key training and technical systems, including Shipsure and ECDIS platforms. The successful candidate will work closely with internal stakeholders and external vendors to maintain financial accuracy and support the delivery of high-quality training services. Contribution to V.Group strategy and values: The Learning Services Administrator - Accounts role will work by V.Group’ strategy and values with specific focus on training. This job post will proactively drive transformation required for the group to be the leading global provider of Marine Support Services. He/ She will set high standards by working in an ethical and transparent way. Key Responsibilities and Tasks Validate and accurately code all IMTS-related expenses in Shipsure. Ensure compliance with internal financial policies and coding structures. Liaise with finance and procurement teams to resolve discrepancies. Prepare and issue at-cost invoices for training services delivered to non-contributing clients. Maintain accurate records of cost breakdowns and supporting documentation. Monitor payment status and follow up on outstanding invoices. Track and monitor training-related expenditures against budget. Identify cost-saving opportunities and flag variances to management. Support monthly and quarterly financial reporting cycles. Assist in the preparation and maintenance of the IMTS training budget. Generate and reconcile invoices related to IMTS training activities. Provide regular updates on budget utilisation and forecasting. Coordinate invoicing for ECDIS training sessions, including third-party providers. Ensure timely and accurate billing in line with contractual agreements. Maintain training records and support audit readiness. Support Global Training and development projects, as requested. Oversee financial budget set for events and sessions globally. Maintenance and update of the Monthly Training report financials. What can I expect in return? V. Essential Bachelor/College Degree Proven experience in financial administration, preferably within a training or maritime environment. Strong knowledge of financial systems, ideally Shipsure or similar ERP platforms. Excellent attention to detail and numerical accuracy. Proficient in Microsoft Excel and other Office applications. Strong organisational and communication skills. Ability to manage multiple priorities and meet deadlines. Works under minimum supervision. Demonstrates Team collaboration and Team spirit. Good command in English – oral and written skills. Desirable Ship Management training experience. Background in finance, business administration. Experience working in a global or cross-functional team environment.
