The RoleThe Sales Admin Professional plays a pivotal role in supporting the Sales and Account Management teams by ensuring customer documentation, sales orders, and leasing processes are accurate, complete, and compliant with internal standards. Acting as a key liaison with customers, this role facilitates smooth communication and coordination throughout the sales cycle, contributing to a seamless customer experience. The role manages complex order requirements, validates workflows, and provides administrative support and training to Sales teams to drive operational efficiency and right-first-time execution.
Essential Duties- Sales Order Creation & Validation - Work with Sales teams to ensure customer and partner documentation is accurate, complete, and approved before order creation. Create sales orders in CPQ, ensuring details align with partner purchase orders and supporting documentation.
- Ownership of right-first-time order creation by verifying all elements before handover to Business Operations.
- Pre-Validation & Approvals - Validate clean orders by checking stock availability, credit status, and accuracy of order details.
- Pre-validate sales orders and coordinate with relevant departments (e.g., Credit Control, Pricing) to secure timely approvals and reduce processing time.
- Order creation in CPQ for Partners with accurate alignment to Partner purchase orders and documentation; collaborate with Business Operations, Sales, and Partners to resolve discrepancies and ensure smooth booking; proactively check for completeness and accuracy to support efficient processing and a high-quality Partner experience.
- Order Management & Processing - validate orders before approval, launch, and booking. Process hardware & accessories for workspace devices going through the PDI process and with Canon Service Contracts. Manage solution-related order processes, including third-party portals for contracts, entitlements, and subscriptions. Resolve issues identified in the workbench.
- Operate with daily reports to manage BAU operations including order processing, procurement requests, credit/rebill activities, warranties, rebates, claims, and movements. Act as backup for CPQ orders and contract activations.
- Customer & Partner Communication - Coordinate with internal teams to resolve queries and provide proactive updates to stakeholders to ensure an exceptional customer experience within SLA targets.
- Liaise with Partners and third parties to provide information on contracts and clarify requirements; coordinate across departments to ensure smooth communication flow.
- Contractual Setup & Continuous Improvement - Ensure accurate contractual setup with Business Operations and contribute to process improvements.
- Monitor and review processes; follow up on orders not clean to identify root causes and drive improvements.
- Sales Team Support & Training - Train Account Managers on CPQ usage, proposal creation, and contract documentation.
- Pricing support and CPQ data entry for complex transactions; provide administrative support to Sales Managers, including pulling contract information and generating reports.
- Create and manage complex CPQ orders for tailored customer needs; coordinate with Sales and Business Operations to ensure accurate capture of requirements and smooth processing.
- Lead in contracts with terminations or prolongations; advise Sales on correct approach and ensure proper capture of details; work with Business Operations to determine processing approach.
- Support leasing tasks including pre-clearance, lease provider documentation, and clean order packs.
- Bachelor’s Degree in any business-related discipline.
- Specialist knowledge of products and solutions to understand implications for order processing.
- Customer-centric mindset with accurate data entry and strong analytical skills.
- Excellent communication skills.

- Excellent time management and prioritization skills.
- Ability to work independently and as part of a team.
