Job Summary The Bid Admin Coordinator is responsible for managing bid documents, organizing proposal submissions, and coordinating deadlines. This role ensures that all bids are submitted accurately and on time, working closely with project managers, estimators, and clients to gather required information. Strong attention to detail, organization, and communication skills are essential. Responsibilities 1. Bid Preparation and Submission: Lead the coordination and preparation of bid packages and proposals for various construction projects. Ensure that all RFPs are submitted internally in a timely manner and in compliance with the requirements set out in the request for proposal documents. 2. Document Management: Manage and organize all bid documents, including RFPs, technical specifications, drawings, and other related documents. Ensure accuracy, completeness, and compliance with the submission guidelines. 3. Team Coordination: Work closely with the project manager, estimators, and other team members to gather necessary information and facilitate the preparation of comprehensive bids. Independently manage the workload calendar of the assigned region. Be extremely organized and meet workload demand and goals. Track all customer contacts and bids for the estimator to send bids to. Qualifications Bachelor’s degree in Business, Project Management, Procurement, or a related field, or equivalent experience. Familiarity with bidding coordination is preferred but not required. Strong written and verbal communication skills. Ability to produce clear, concise documents and correspondence. Open to working on a project‑based employment (6‑month contract).
