Job Description As an Executive Assistant , you'll provide comprehensive support to senior executives in a high‑performance environment. From managing calendars and inboxes to coordinating communications and anticipating needs, you'll be instrumental in keeping operations seamless and strategic decisions on track. Technical Skills: Proficient in Microsoft Office Suite, CRM systems (Salesforce/Jungo strongly preferred), and collaboration tools such as Teams, Slack, and Zoom. Familiarity with AI productivity tools like Fathom, ChatGPT, and Fixer.ai is an advantage. Communication: Excellent written and verbal communication skills; professional and confident demeanor. Organization: Proven ability to manage multiple calendars and inboxes. Proactivity: Demonstrated ability to anticipate needs, take initiative, and work independently. Discretion: Maintains a high level of confidentiality, professionalism, and integrity when handling sensitive business and personal information. Responsiveness: Capable of responding quickly and adapting in real time through text, call, or email. Ideal Candidate Profile Thrives as a gatekeeper and trusted partner. Your Daily Tasks Inbox & Communication Management Triage and organize executive inboxes; identify and elevate priority emails. Draft, proof, and send professional correspondence on behalf of executives. Respond promptly to routine client and team inquiries. Delegate or route emails to keep workflows efficient. Task & Deadline Tracking Maintain executive task lists and reminders for key deadlines. Track outstanding items and follow up proactively with executives and team members. Provide weekly debriefs summarizing pending tasks and priorities. Calendar & Scheduling Manage complex calendars for multiple executives, including internal meetings, client calls, recruiting conversations, and personal commitments. Send daily calendar briefings and reminders (via text/call) to keep executives aligned. Handle meeting logistics, client calls, and team events. Support preparation for recurring meetings. Proactive Executive Support Anticipate needs and take initiative without direction. Provide real‑time support by reminding executives of upcoming commitments (via text or call for urgent matters). Forward documents, assign tasks, and ensure completion. Recruiting & Vendor Support Coordinate recruiting efforts and follow‑ups with candidates. Liaise with vendors, partners, and event organizers. Personal Support Manage personal calendar items such as birthdays, anniversaries, and family scheduling. Coordinate travel, logistics, and special events.
