Job Description

The Event Coordinator will be responsible for planning and organizing events that enhance company visibility, build community connections, and support our marketing objectives. Events may include driver-partner onboarding sessions, promotional events, sponsorship activities, and local community engagement efforts.

Key Responsibilities:

  • Event Planning & Coordination: Plan, coordinate, and execute a range of events, including driver-partner meetups, promotional events, community outreach activities, and special projects; Develop annual event calendar that is aligned with company brand goals and objectives driving growth and company engagement
  • Brand Representation and Engagement: Represent the company at events and foster positive experiences for attendees including users, driver-partners, and media representatives; Manage and coordinate brand ambassadors during events, including event information dissemination, setting KPIs, and monitoring performance
  • Event Logistics & Coordination: Source and negotiate contracts with venues and other vendors to ensure cost-effective solutions that meet quality standards and align with the company brand; Create detailed event project plans, timelines, and checklists, coordinating with cross-functional teams to ensure timely execution; Develop contingency plans to address potential issues, ensuring events can adapt to last-minute changes without compromising quality
  • Cross Functional Collaboration: Work closely with the marketing team and management to ensure events messaging aligns with the overall brand strategy and digital assets (flyers, promotional material) are consistent with the Xpress brand; Ensure timely and effective deliverables of marketing collateral during events
  • Performance Reporting: Gather event performance metrics and attendee feedback to evaluate the success of each event and provide detailed reports to management; Utilize gathered data for assessment and analysis of effectiveness of events in achieving business objectives and informing future planning; Track and report event expenditures and budget reconciliation to ensure efficient use of resources and identify cost-saving opportunities

Qualifications

  • Bachelor's degree in Marketing, Communications, Hospitality or related field
  • Proven experience in event planning ideally from marketing, technology, transportation or consumer-focused industries
  • Strong project management skills with the ability to prioritize and manage multiple events under tight deadlines
  • Excellent communication, negotiation, and interpersonal skills, with fluency in English and Filipino (additional local languages are an advantage)
  • Ability to work effectively in a fast-paced, high-growth environment
  • Capable of working independently and able to handle contract negotiations with vendors
  • Strong social media proficiency and understanding of digital marketing trends
  • Willingness to work flexible hours including weekends and evenings during events period

  • Client & Stakeholder Relations: Act as the primary point of contact for clients, media, and internal teams to coordinate event requirements; Provide excellent customer service before, during, and after events, addressing any issues or concerns promptly; Maintain strong relationships with key industry partners, customers, and suppliers
  • On-Site Event Management: Oversee all logistics during events, from setting up booths and displays to managing event flow and troubleshooting on-site challenges; Ensure food safety standards are adhered to at all times, especially during product demonstrations or tastings; Coordinate and manage event staff, volunteers, and caterers to ensure the event runs smoothly
  • Post-Event Analysis: Gather feedback from clients, attendees, and vendors to assess the success of each event; Provide detailed reports and analyze event outcomes (e.g., customer engagement, sales impact, brand visibility); Recommend improvements for future events based on client and attendee feedback

Qualifications:

  • Education: Bachelor's degree in Event Planning, Hospitality, Marketing, or related field. Certification in food safety or event management is a plus
  • Experience: Minimum of 2-3 years of event coordination experience, preferably in the food industry or manufacturing sector
  • Skills: Excellent organizational and project management skills, with the ability to juggle multiple events simultaneously; Strong communication and negotiation skills, with experience working with vendors, clients, and internal teams; Knowledge of food safety protocols and ability to ensure compliance during events; Proficiency in event management software and Microsoft Office Suite; Ability to troubleshoot and solve problems quickly and efficiently under pressure

The Role

The Senior Event Coordinator plays a strategic leadership role, owning the end-to-end event lifecycle and driving the flawless execution of high-profile corporate events across APAC and ANZ. This hybrid position combines focused remote work with in-office collaboration in BGC.

With a front-line leadership focus, this role is centered on proactive strategy, high-level negotiation, and quality control. You will serve as the primary logistics lead for key events, mentor junior team members, and ensure every detail aligns with our brand's high standards. You will also represent Ortus as the on-site point person or even as an MoC at our most important events.

This position is for an experienced professional who is not only a logistical expert but also a forward-thinking innovator. You will lead the charge in introducing new event concepts, piloting cutting-edge tools, and forging strategic partnerships that elevate the attendee experience. You are the driving force behind our world-class event operations, ensuring our events are both impactful and financially sound.

Responsibilities:

Event Coordination & Execution: Own the end-to-end delivery of key events, acting as the main logistics lead; Align with internal stakeholders to ensure all requirements are met; Oversee and troubleshoot real-time event issues, manage pre-, during-, and post-event workflows; Mentor junior coordinators and ensure SOPs are followed across events

Represent Ortus at high-profile events as the on-ground coordinator or MoC when required. Lead negotiations with vendors and venues to secure value-adds and exclusive terms; Build long-term vendor relationships and evaluate performance post-event; Curate and refine Ortus\'s preferred vendor list and identify opportunities for partnerships; Strike strategic deals that offer value-adds and ensure consistent quality delivery

Quality Assurance & Brand Experience: Own quality assurance — establish and enforce brand-aligned event standards; Conduct event audits and identify areas for improvement; Proactively introduce innovative ideas to elevate the attendee experience; Stay ahead of event trends and apply relevant ones to Ortus formats; Lead pilots of new concepts

Budget Ownership & Efficiency: Own the budgeting process per event, ensuring strong ROI; Propose and lead cost-efficiency strategies; Review all event budgets prepared by juniors and flag inconsistencies; Lead financial reconciliation post-event

Qualifications:

  • Event Leadership: 2 to 3 years of extensive experience in end-to-end event management
