Overview The Medical Virtual Assistant / Intake Coordinator plays a crucial role in patient intake, administrative support, and healthcare coordination. This position ensures a seamless intake process while managing patient information, scheduling, and communication in a healthcare environment. Key Responsibilities Patient Intake Management: Collect and verify patient demographic and insurance information. Appointment Scheduling: Coordinate and schedule patient appointments with healthcare providers. Medical Record Handling: Ensure accurate data entry and management of patient records in Electronic Health Record (EHR) systems. Insurance Verification: Assist in checking coverage and eligibility for medical procedures. Patient Communication: Handle inbound and outbound calls, responding to inquiries with professionalism and empathy. Pre-Appointment Preparation: Gather necessary medical history and documentation before consultations. Coordination with Healthcare Providers: Facilitate communication between patients, providers, and insurance representatives. HIPAA Compliance: Maintain confidentiality and ensure adherence to healthcare privacy regulations. Administrative Support: Assist with medical billing, claims processing, and other administrative duties as needed. Qualifications & Skills Experience in medical administrative support or patient intake coordination. Familiarity with EHR systems such as Epic, Cerner, or eClinicalWorks. Knowledge of medical terminology and insurance processes. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Ability to handle sensitive patient information with discretion and professionalism. Proficiency in Microsoft Office Suite, Google Workspace, and healthcare scheduling software.
