Job Description As a Travel Co-ordinator , you'll manage travel arrangements for healthcare professionals attending international medical conferences. You'll ensure smooth, compliant, and stress‑free delegate experiences through expert planning, communication, and coordination with travel providers— all while upholding the highest standards of professionalism and precision. Visit ) Free 24/7 access to our office gyms (Ortigas and Makati) with a free physical fitness trainer Exclusive Emapta Lifestyle perks (hotel and restaurant discounts, and more) Unlimited opportunities for employee referral incentives across the organization Fun engagement activities for employees Mentorship and exposure to global leaders and teams Career growth opportunities Diverse and supportive work environment The Qualifications We Seek 2 to 3 years' relevant experience Proven experience in customer service, administrative, or travel‑related roles Strong organizational skills with excellent attention to detail Strong written and verbal communication skills in English Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and SharePoint) Ability to manage multiple tasks and deadlines efficiently Proactive and solutions‑oriented mindset Understanding of data protection principles and commitment to confidentiality Working knowledge of Cvent is an advantage, though not essential Familiarity with compliance requirements in the pharmaceutical or healthcare sector is preferable but not mandatory Your Daily Tasks Deliverables: Act as the primary point of contact for conference delegates regarding travel needs and preferences Coordinate consultation and flight booking with travel service providers (travel agencies) Confirm and communicate flight details with both delegates and travel agencies Maintain accurate records in the delegate management tool, Cvent Handle pre‑travel enquiries, changes, and unforeseen issues or cancellations with professionalism and care Responsibilities: Conference Delegate Communication Serve as the first point of contact for delegates' travel arrangements Provide timely, professional responses to queries via shared inbox Share itineraries, confirmations, and updates clearly and accurately Monitor the shared inbox daily to manage pre‑travel inquiries and issues Travel Booking & Coordination Liaise with the appointed travel service provider for flight booking and management Ensure all bookings meet compliance requirements (timeline policy, class of travel, spend caps, etc.) Maintain organized and accurate records of all travel data Compliance & Documentation Ensure all travel arrangements comply with client policies and industry regulations Track approvals and maintain auditable documentation Adhere to data security and privacy regulations in handling delegate information Team Collaboration Report to a Delegate Manager overseeing conference liaison and communication Work collaboratively with fellow travel coordinators for seamless execution Proactively flag potential issues and propose solutions Administration & Reporting Maintain accurate delegate details, itineraries, and travel cost data in Cvent Provide regular updates on booking status and risks to timelines About the Client Bringing People Together Through Purposeful Events.
