The EDI Order Processing Specialist role is responsible for managing, troubleshooting, and processing customer orders through EDI and ERP systems while ensuring order accuracy, compliance, and timely invoicing. The position coordinates with warehouses and 3PL providers, maintains shipping documentation, and handles EDI setup and testing with new customers. This role also supports cross-functional teams by providing accurate data and reporting, ensuring smooth order fulfillment and strong customer relationships.
Roles & Responsibilities- Process and monitor customer orders through EDI and ERP systems with accuracy and efficiency.
- Ensure timely and compliant invoicing across multiple sales channels.
- Set up, test, and validate EDI connections for new and existing customers.
- Troubleshoot and resolve technical EDI issues to maintain smooth transactions.
- Coordinate with warehouses (3PL) to align shipping timelines and documentation.
- Verify shipping compliance documents for accuracy and completeness.
- Send Advance Shipping Notices (ASNs), sales orders, and invoices in compliance with customer requirements and retailer standards.
- Maintain comprehensive order records for various business partners.
- Provide clear and timely updates to customers and business partners regarding order status.
- Address inquiries and resolve issues quickly to strengthen business relationships.
- Work closely with sales, operations, and finance teams to support order processing needs.
- Assist internal stakeholders with data, reporting, and compliance requirements.
- Generate reports using Excel and Power BI to analyze order trends and performance.
- Identify gaps or inefficiencies in the order cycle and recommend process improvements.
- Resolve system errors, data mismatches, or transmission failures in EDI transactions.
- Identify recurring issues and partner with IT to implement long-term fixes.
- Utilize platforms such as Orderful, Celigo, TradeComm, and NetSuite ERP to execute daily tasks.
- Stay current with EDI and ERP system updates to improve efficiency.
- Recommend process enhancements to streamline workflows and reduce errors.
- Support scalability efforts to handle growing order volumes effectively.
- 2-3 years of relevant EDI experience, preferably in retail or mass merchant operations.
- Hands-on expertise with EDI platforms (Orderful, Celigo, TradeComm) and ERP systems (NetSuite).
- Familiarity with logistics, shipping documentation, and compliance requirements.
- Strong communication, organizational, and problem-solving skills.
- Proficiency with Excel and Power BI for data analysis and reporting.
- Comfort working with data, numbers, and cross-functional teams.
- Associate’s degree in Computer Science, MIS, IT, or a related field.
Candidates must be in the Philippines. 40 Hours per Week - Start: 6:00am & Finish: 3:00pm EST. 1-Hour Lunch Break
