Executive Assistant (with Accounting, Purchase & Logistics Support)
Key Responsibilities
Administrative Support
Manage office correspondence, phone calls, and emails.
Organize and maintain filing systems, both digital and physical.
Schedule meetings, appointments, and travel arrangements.
Prepare reports, presentations, and other business documents.
Assist in procurement and office supply management.
Accounting Support
Assist with basic bookkeeping tasks (data entry, invoices, receipts, petty cash).
Prepare and process expense reports.
Support accounts payable/receivable tracking.
Assist in preparing monthly financial summaries for management.
Coordinate with external accountants/auditors when needed.
Logistics Support
Assist in coordinating shipments, deliveries, and transportation schedules.
Monitor inventory and stock levels; prepare replenishment requests.
Liaise with suppliers, vendors, and logistics providers.
Track orders, prepare delivery notes, and ensure timely distribution.
Maintain records of purchases, shipments, and inventory movements.
Qualifications & Skills
3-5 years' experience as an executive assistant or similar role.
Basic knowledge of accounting principles and bookkeeping.
Preferably, have worked with foreign companies and/or foreign employers.
Familiarity with logistics, supply chain, or inventory management is a plus.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
High attention to detail and problem-solving abilities.
Dynamic & has a positive attitude
Diploma or degree in Business Administration, Accounting, or related field preferred.
Working Conditions
Full-time, office-based role (with occasional travel if needed).
Reports directly to the Managing Director.
