JOB SUMMARY:

As a Functional Assistant for Human Resources, the successful candidate will play a critical role in supporting the HR department by performing a variety of tasks in support to the HROD & Admin Head. He/She will be tasked to organize meetings with the Chairman, prepare the Agenda for Meetings, hosting and taking down of the Minutes of Meetings and follow up on actions taken by responsible persons as committed during the meetings. He/She will provide administrative and executive secretarial assistance to the HROD & Admin Head in the performance of her day-to-day functions.

KEY RESPONSIBILITIES:
- Assist the HROD & Admin Head in conducting Weekly Meetings with the Chairman by taking down the Minutes of the Meeting, preparing the Agenda.

- Provide administrative and executive secretarial assistance to the HROD & Admin Head in the performance of her day-to-day functions.

monitoring of submission of reports, ensuring adherence to deadlines.

- Support the HR Team with the administration of employee records, ensuring data accuracy and confidentiality.

Maintain and update HR databases, ensuring accurate and up-to-date information.

Will also be assigned to take the Minutes of the Meeting, assist in the preparation of the Agenda, and follow-up on attachments and reports to be taken up in the meeting.

QUALIFICATIONS:

Candidate must possess a Bachelor's Degree gained from reputable colleges and universities.With at least 20 years of working experience as Executive Assistant to the HROD & Admin Head and good exposure to HR and Admin Functions.With good knowledge of HR functions.Proficiency in Microsoft Office Suite, particularly Excel, Word, PowerpointStrong attention to detail and accuracy in data managementExcellent organizational and time-management skillsWith Excellent written communication skills to be able to prepare Minutes of Meetings.Must be highly organized and systematic.Ability to prioritize tasks and work under pressureMust have the confidence to follow-up Managers on their submission of reports.Analytical mindset with a proactive approach to problem-solvingHigh level of integrity and commitment to confidentialityApplicants must be willing to work face-to-face in Makati.
