Job Purpose:

The Talent Acquisition Admin Officer is responsible for the management of operational activities of the Talent Acquisition onboarding process for successful hires for both Banca and Corporate recruitment. The primary responsibilities of this role are completion of pre-employment requirements to include licensing requirements-based SLA achievement, quarterly data reporting through dashboards, monthly preparation of payroll instructions, and monitoring and processing of appointment papers of new hires due for regularization. This position is also the custodian of employment contract and benefits summary templates. Generally, this role oversees the SLA of contractual employees in the administration of the onboarding process.

Key Accountabilities:

  • Prepares final list of new hires for encoding and creates new hire profiles using Your Employee System (YES) in a timely manner
  • Creates and sends monthly payroll instructions for the first salary payout of new hires
  • Validates all the employment contracts and benefits summaries from TA Team with respect to Job Grades and ensure contracts are signed and accepted by new hires
  • Review employment contract and benefits summary from time to time and amend contract templates as needed
  • Oversees the deliverables of casual employees to ensure that SLAs are met in reference to coordination with the new hires and completion of pre-employment requirements
  • Monitors pre-employment requirements are submitted prior start date, and negotiable requirements are closely monitored until completed
  • Coordinates with the stakeholders to ensure that new hires shall have a smooth onboarding experience. Resolves issues for any challenges encounter prior to onboarding proper
  • Coordinates with stakeholders on the approval of regularization of new hires and processed timely uploading of regularization letters in the system and coordination with the TR Operations team for benefits implementation.
  • Provides first-line resolution and addresses escalation on issues and concerns from our 3rd party vendors (Metrobank for Payroll Account Creation, Background Investigation partner/s, Clinic partner for medical exam).
  • Regularly monitors and updates all pre-employment requirements trackers to ensure that SLAs are met
  • Creates dashboards for quarterly data reporting to HR Director and CHRO
  • Performs various onboarding reports for internal stakeholders' reference
  • Manages audit and GFH requirements ensuring that the organization is compliant with employment policies
  • Initiates and recommends continuous improvement of manual processes for simplification and digitization
  • Formulates policies on onboarding
  • Utilizes My Axa budget in managing and filing various expenses incurred from different 3rd party vendors, recruitment events, office supplies replenishment, etc.
