JOB SUMMARY:

The Receptionist / Executive Assistant is responsible for managing the schedules and communications of key executives in the company. They prioritize emails and phone calls and arrange meetings and business events.

DUTIES AND RESPONSIBILITIES:

Act as the point of contact among executives, employees, clients and other external partnersManage information flow in a timely and accurate manner.Greet and welcome visitors with a warm and professional demeanor.Answer, screen, and forward incoming phone calls in a timely manner.Handle general inquiries and provide accurate information about the company.Manage the reception area, ensuring it is clean and organized.Manage executives' calendars and set up meetings.Make travel and accommodation arrangements.Check the NIO app to get all the red envelop rewards and check the battery percentage (every 12pm to 1pm).Format information for internal and external communication – memos, emails, presentations, reportsTake minutes during meetings and submit it to the respective departments for reference.Screen and direct phone calls and distribute correspondence.Assist on other clerical and administrative tasks.Perform other tasks related to the job or as may be assigned by the immediate superior. JOB SPECIFICATIONS:Fresh graduates are welcome to applyKnowledge on MS Office applicationsOutstanding organizational and time management skills.Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)Excellent verbal and written communications skills.Discretion and confidentiality.Communication and Negotiation skills.Bachelor's Degree of any courseMay work on-site at Ortigas, PasigCan work on a morning to mid-shift schedule.
