JOB DESCRIPTION

The Regulatory, Importation and Admin Officer shall be in charge of handling and managing product registration activities to ensure compliance to all government regulatory agencies. The position also aims to ensure that the facilitation of the importation process end to end.

DUTIES & RESPONSIBILITIES

REGULATORY

Represents the company to government regulatory agencies and ensures that company permits and licenses are valid and that the company is compliant to all requirements.Responsible for the initial application and renewal of product registrations in government regulatory agencies: from gathering, evaluating, collating and submitting registration documents up to the release of the registration certificates.Maintains a filing system for record purposes and to efficiently handle and monitor registration activities and status. IMPORTATION Manage and coordinate all aspects of the import process, from documentation preparation to customs clearance.Liase with principals, freight forwarders and custom agents to ensure timely and cost-efficient importation of goods.Monitor shipment schedules and coordinate with internal departments to meet delivery deadlinesEnsure compliance with import regulations and trade laws, and being aware of changes and updates.Resolve any issues or delays in the import process swiftly and efficiently.Maintain accurate records and documentation related to imports for auditing purposes. ADMINISTRATIVE Helps in managing events participated by the company (coordination with organizers, booth and display preparation, etc) to ensure successful participation Assists the sales team in gathering quotations related to technical and marketing activities like seminars, product presentations and other meetings. Makes travel arrangements for sales team including flight booking, hotel reservation, etc.Ensures that technical and promotional materials needed by the sales team are always available for use in their product promotional activities Ensures that office is kept clean and properly maintainedQUALIFICATIONSGraduate of any business related course preferably with strong background on Regulatory and importation (3yrs and up)Good written and spoken communication skills, with significant experience on product registration process and administrative support from any industry. Meticulous and keen to details. Ability to effectively and consistently deliver on time and as per agreed quality standard. Must be proficient in using MS OfficeApplicants must be willing to work in Quezon City.Excellent organizational, interpersonal and communication skills. With admirable work ethics.Experience in import operations and regulatory compliance is an advantage.
