The HR Coordinator will be assigned to our partner school in Vancouver, Canada. Reporting to the HR Supervisor Employee Experience, the HR Coordinator will assist with tasks and functions related to the full HR cycle.

The HR Coordinator is responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the University:

  • Update and maintain employee information on the HRIS (ADP & Cezanne) in a timely manner.
  • Update and maintain confidential HR documents and files, ensuring all required documentation is complete and up-to-date, including employment records.
  • Maintain up-to-date information on various trackers, including but not limited to Payroll sheet, Professional development and tuiton waiver tracker, probation completion tracker, KPI/PDR tracker, Remote work tracker and Work status tracker.
  • Maintain up-to-date information in the HR Dashboard tracker of the complete employee lifecycle.
  • Manage and monitor the HR mailbox; provide HR support to all staff and faculty members by responding to queries and providing follow-ups regarding HR policies, procedures, programs and redirecting as needed to appropriate team members. Coordinate with other departments for information required to resolve employee queries.
  • Prepare and issue HR correspondence, including but not limited to employment contracts, salary and title change letters, probation completion letters, employment verification letters, remote work agreements and unpaid leave letters; Update on various portals and systems promptly (ADP, Cezanne, HR Dashboard, MS Teams, Payroll sheet and folders).
  • Coordinate the onboarding and onboarding process in collaboration with other team members.
  • Assist with the coordination of payroll-related data at the end of each pay period in time for payroll cut-off; Support the payroll team with payroll-related activities or queries.
  • Process employee benefits programs including but not limited to professional development and tuiton waiver, and coordinate with the relevant departments to ensure timely processing and maintenance of records.
  • Provide full support to automation of HR processes on the HRIS.
  • Support with providing HR analytics and reports, as required.
  • Support with running various data reports on ADP, such as overtime and leave reports.
  • Propose solutions for continuous improvement relating to HR processes, policies, and overall HR effectiveness.

Qualifications

  • Degree in Human Resources, Business Administration, or relevant
  • 2+ years relevant experience, benefits administration experience would be an asset
  • Excellent written and verbal communication skills. Experience working with diverse cultures is a plus
  • Ability to handle sensitive and confidential information in a professional manner
  • Ability to work in a high-volume, high-pressure environment
  • Ability to take initiative, prioritize and organize multiple tasks effectively, and to see them through to timely completion

Work Arrangement

  • 6 months project contract with the possibility of permanency following satisfactory performance.
  • Work schedule is 8AM Vancouver time, Monday to Friday, 11 PM to 8AM
  • This is an onsite work.
  • Office is located at Robinsons Zeta Tower, C5 Road, Ugong Norte, Quezon City. Building is across IPI Pasig and Tiendesitas. Area is accessible from Ortigas CBD, Eastwood, C5 Road, and Rizal areas.
