Position OverviewWe are on the lookout for a dynamic and adaptable Special Assistant to provide support to our Chief Executive based in Manila. This role operates on a full-time hybrid basis, necessitating both remote and in-office work as the situation calls for. The ideal candidate should be a fast learner with diverse competencies, capable of managing a wide array of responsibilities, from procuring equipment to coordinating with local support teams. If you are exceptionally organized, proficient in both English and Tagalog, and can swiftly adjust to new challenges, we would love to connect with you.
Main Responsibilities:- Administrative Assistance: Deliver high-level support to the Chief Executive, which includes overseeing schedules, managing appointments, and arranging travel logistics.
- Procurement: Aid in sourcing and purchasing necessary equipment, including computers and office supplies, ensuring that all requirements are fulfilled promptly and effectively.
- Support Team Oversight: Supervise and coordinate the activities of support personnel, like drivers and writing assistants, ensuring seamless daily operations.
- Communication Facilitation: Act as the primary point of contact between the executive team and local personnel, ensuring clear and effective dialogue in both English and Tagalog.
- Event Planning: Plan and manage in-person meetings and events at the office, ensuring all logistical aspects are efficiently handled.
- Project Assistance: Support various special initiatives, adapting to the evolving needs of the executive and the team.
- Local Attendance: Be available for in-person meetings at the office or other specified sites in Manila as needed, providing direct support when called upon.
- Demonstrated experience in a similar capacity as an executive assistant or administrative support specialist.
- Exceptional organizational and multitasking abilities, with proven skills in prioritizing tasks in a lively environment.
- Outstanding written and verbal communication capabilities in both English and Tagalog.
- Familiarity with Microsoft Office Suite and other productivity tools.
- Quick learner with a high degree of adaptability to new skills and processes.
- Experience collaborating with local support teams, such as drivers and assistants, is an advantage.
- Must be resident in Manila and available for in-person meetings at the office or on-site as necessary.
- A Bachelor's degree in Business Administration or a related discipline is preferred.
