The Office of the Group Chief Investment Officer provides strategic oversight, direction and guidance of all financial activities of the Group including financial activities in all its subsidiaries.

The Executive Assistant provides a range of administrative support services to the Group CIO to promote efficient delivery of services and, where applicable, effective management of the Finance office. She/he maintains high standards of professionalism, efficiency, personal communication, discretion and independent judgment. In working with internal and external contacts, including board members, she/he deals with a wide range of highly sensitive issues under tight deadlines/pressures.

Moreover, he/she shall provide assistance and support in the corporate planning process, monitoring of the Group's corporate performance down to the subsidiary level and from time to time, do some research on the economic environment and various industries where the Group operates.

V. SPECIFIC DUTIES AND RESPONSIBILITIES

1. Responsible for scheduling and managing the CIO's calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organized office.

  • Provides support in arranging Investment meetings including collation of speaking notes and/or briefing notes, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.
  • Works closely with the Finance, Accounting and Treasury Heads of the subsidiaries on special projects, etc.
  • Proofreads, answers, and composes routine correspondence both hand written and electronic, including commentaries on the regular financial reports for submission to the Office of the Chairman, prepares draft or talking points for events needing the Group CIO's opening or welcome or closing remarks and other communications.
  • Prepares summary of the daily events from newspapers business sections, highlighting economic and business issues and current events.
  • Supports and coordinates various Investment meeting arrangements including teleconferences and minute taking as required.
  • Coordinates, plans, and organizes small-to large-scale meetings.
  • Performs general clerical duties to include but not limited to; transcribing dictation, scanning, copying, faxing, filing, and data entry. Collects and opens mail addressed to the Finance/Accounting; forwards correspondence to appropriate staff for action.
  • Completes various forms, including: purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, etc.
  • Undertakes special assignments/projects on a wide variety of issues as requested by the Group CIO and Finance Heads.
  • Contributes to the excellent reputation of the CIO's office through professional, friendly and respectful interactions internally and externally.
  • Provides administrative support in the Strategic and Annual Business Planning process

13. Checks and organizes all documents that needs to be reviewed and signed by the Group CIO. Provides summary for those matters that need urgent attention or action.

  • Other functions that the Group CIO might assign from time to time.

VI. QUALIFICATIONS

EDUCATIONAL REQUIREMENTS:

Graduate of any four – year course preferably in Business Administration or Accountancy

EXPERIENCE REQUIREMENTS:

Not required, but must be a fast-learner with great attention to details. Willing to work beyond office hours, has a strong mind and intelligent. Willing to learn.

TECHNICAL POSITION SPECIFIC COMPETENCIES:
